Position summary:Â Maryland Institute College of Art (MICA) seeks a collaborative, customer centric, detail oriented registration specialist to focus on registration and customer care duties in support of the Open Studies office.Â Tasks are related to student admissions, record keeping, enrollment, data entry, payments, and registration processing, as well as maintaining digital faculty files, paying invoices, and general administrative support of the Open Studies (OS) office.Â
General purpose: This position works with the Open Studies team to provide students with assistance relating to onboarding, student access to services related to the purchase and utilization of Open Studies programs, to maintain student data and records, and to strengthen brand recognition and student satisfaction. The position also works in support of the administrative services area within OS to manage faculty data and growing strong business practices.
Position responsibilities: Open Studies serves a diverse student body of degree-seeking students, art and design professionals, lifelong learners, teens, and children. The unit administers five unique professional graduate programs in the Business of Art and Design, Data Analytics and Visualization, UX Design, Product Management, and Design Leadership along with art and design classes for adults, teens, and children, short-term travel programs, and programs in support of the collegeâs DEIG (Diversity, Equity, Inclusion, and Globalization) goals.Â As MICAâs educational venture space, Open Studies is engaged in innovating academic programming (including online, virtual, and remote education, new curricular areas and program structures, and programs for non-traditional students) and revenue growth.Â
The registration specialist is responsible for tasks related to our registration team as well as our administrative support area.
Tasks supporting registration team:
Provide information about MICA and OS programs to customers
Direct students to appropriate staff and faculty
Answer questions about course confirmation, faculty, grades, transcripts, events, important dates, etc.
Provide outstanding customer service
Student onboarding support:
Send confirmation emails
Provide technology onboarding support
Support access to adobe suiteÂ
Support onboarding and use of new student account
Provide access and use support with the MICA learning management system (Canvas)
Facilitate the distribution of instructional suppliesÂ
Be available to support students on the first day of class any technical problems (may require evenings/weekends)
Communicate with students and answer questions regarding enrollment/accessing courses
Register Open Studies students
Processing payments: checks and credit cards
Post payments to student accounts
Apply financial aid and discounts
Enter registration and prospective student information
Audit student accounts
Maintain student records
Provide regular reporting to the Open Studies (OS) office regarding customer experiences and interactions with relevant programs
Identify and develop methods to improve customer care protocols and processes
Phone & front desk receptionÂ
Perform other related duties as assigned
Tasks supporting Administrative Services:
Create, organize, and maintain faculty files across multiple digital and analogue filing systems (including scanning archived hard copy faculty files into digital files)
Assist with tracking preparation and processing for a variety of ad hoc payments (payment outside of the normal invoicing and check request process)
Assist with creating suppliers and supplier invoices in MICAâs finance systemÂ
Assist in scheduling worksheet data fields such as Peoplesoft ID and salary step scale for adjunct faculty
Perform other related duties as assigned Â
Knowledge, Skills, and Abilities
Experience using Microsoft Office, specifically Excel and Word
Experience with Google drive, docs, sheets, etc.
Experience with Asana and Slack
Data entry skills with attention to detail
Customer service and working with the public
Verbal and written communication skills
Ability to manage multiple tasks while staying organized
Ability to maintain pleasant demeanor and professional manner
Ability to maintain information in a database
PeopleSoft and Workday experience Â
High School diploma/equivalent
Demonstrated office experience
Comfortable with a variety of database and educational technologies
Experience with DocusignÂ
