We are currently hiring two Senior Executive Assistants to support the growing Zions Capital Markets team. One position will be based in Houston, TX and one position will be based in Charlotte, NC.
Essential Functions:
Provide experienced administrative support to Zions Capital Markets Leadership and other Zions Capital Markets team members simultaneously.
Execute accurate calendaring for multiple individuals. Candidate should be comfortable working with 4+ time zones on a regular basis.
Arrange domestic travel including flights, hotels, car rentals, and car services through Zions Corporate travel desk.
Process expense reports for multiple individuals across different Zions Capital Markets teams in Concur ensuring compliance with the Travel & Expense Policy.
Fulfill office manager duties including collecting mail, greeting visitors, liaise with building security and parking for guests, order standard office supplies and beverages, order lunches for on-site meetings, arrange dining reservations for off-site meetings, and keep office and bank policies maintained for the respective location.
General administrative support including creating, maintaining, and editing Word documents, Excel spreadsheets and PowerPoint presentations; making and answering phone calls; writing professional e-mail correspondences.
Corporate event planning, including meetings/meals around industry conferences, division offsites, client site-visits, and other business development needs/events.
Assist in processes specific to the Business Enablement projects that may include on-boarding and general operations.
Coordinate Emergency evacuation procedures for the group based on location.
Ad-hoc assignments as requested.
Qualifications:
Bachelor's degree in Business Administration, Finance or a related field and 8+ years administrative, business, finance or other directly related experience.
Supervisory and project management skills preferred.
Strong preference for candidates with experience supporting Capital Markets functions including investment banking and/or sales & trading businesses.
Ability to understand, interpret and execute policies and procedures as written.
Excellent communication skills - written and verbal.
Ability to prioritize projects and strong problem-solving skills.
Good research skills and strong attention to detail.
Knowledge of various software applications including Microsoft Office (Teams, Outlook, Word, Excel, SharePoint, and PowerPoint), Concur, and ADP Workforce Dimensions.
