The Special Assistant to the Provost is central to the operations of the Office of the Provost and Executive Vice Chancellor for Academic Affairs. This position serves as the manager and operations officer; and is responsible broadly for coordinating and monitoring the operations, processes and progress of activities and projects for the units that complement the Office of the Provost and Executive Vice Chancellor for Academic Affairs.
This Special Assistant position acts as liaison between administrative staffs for Vice Chancellors, Vice Provosts, Associate/Assistant Vice Provosts, Deans, Vice Chancellors at constituent institutions, and the offices of the University of North Carolina System; serves as secretary to the Board of Trustees University Affairs Committee, which is inclusive of the Divisions of Academic Affairs, Human Resources, Information Technology, Research and Economic Development, and Student Affairs, as well as the Department of Athletics; supervises operations and processing functions, evaluates and guides staff, and assures accuracy of communications; prepares basic on-demand reports, multiple recurring academic reports, correspondence; monitors faculty promotion and tenure, and post-tenure review activities; assures information and processes are archived, disseminated and made accessible to all units associated with the Office of the Provost and to external stakeholders as relevant; interfaces with the Office of the Chancellor to coordinate joint or designated activities.
The Special Assistant applies knowledge of the university, its leaders and stakeholders while interpreting policies and procedures to provide quality service; and coordinates and monitors the progress of activities and projects, prepares major reports such as promotion and reappointment reports for the Chancellor and the Office of the President, post tenure review reports for the same two offices, as well as the sundry reports required throughout the academic year by the Office of the Chancellor and the UNC System Office.
· Posts the vacant positions of direct reports in PeopleAdmin,
· Maintains files for all confidential matters, i.e., legal issues and termination
· Manages files for all action items for Provost, e.g., recurring reports,
· Assists in coordinating initial search committees and processes for the Office of the Provost,
· Assists in the development of agenda items for weekly individual meetings with the Chancellor, weekly Cabinet meetings, and the BOTUA Committee meetings,
· Reviews meeting materials, budgets and other documents for action items,
· Works with other units to maintain databases and shared sites,
· Performs other duties as assigned by the Provost,
· Works closely with administrative staff to coordinate workload and requirements,
· Works closely with the Senior Vice Provost to develop, maintain and monitor effective and efficient business processes and technologies in the Office of the Provost.

Requirements:
Bachelor's degree and a minimum of eight years of professional experience in higher education administration; or advanced degree with a minimum of five years in higher education administration or related field; or equivalent combination of training and experience.
Preferred:
Advanced degree; knowledgeable of best practices in the administration of academic affairs and personnel services; staff supervision.
Strong quantitative, analytical skills.
Excellent oral and written communication skills.
Strong knowledge of software applications, such as MS Office Suite. Experience in Ellucian Banner applications, SharePoint and other cloud sharing services.
Strong digital and paper-based organizational skills.
Strong interpersonal skills to work effectively and facilitate teams and relationships across internal and external stakeholders.
Ability to exercise independence and judgement as needed.
Ability to be agile and adaptive to situations that are unexpected, time-sensitive or highly demanding.
Knowledge and skills to coordinate and manage multiple tasks, some requiring immediate responses consistent with fast-paced operations.
