Germantown Friends School is seeking a full-time Lower School Administrative Assistant who will be responsible for supporting all students and staff in the Lower School Division. The role centers on attendance, transportation, nutrition, special events, and day-to-day activities. This person works alongside the Lower School Office team consisting of the LS Director, the LS Counselor, and the LS Administrative Assistant to the Director.
Minimum Requirements
- Ability to write and speak clearly in English.
- Be proficient with digital processing and Google Suite.
- Holds a high school diploma or associate’s degree.
- Experience as an office assistant or in a related field.
Individual Duties and Responsibilities
- Manage and organize all transportation systems for students in Kindergarten to Grade 5.
- Ensure all students and teachers are properly informed about dismissal procedures and daily changes to individual student-dismissal schedules.
- Keep records of day-to-day activities by maintaining databases.
- Coordinate and liaise with the Security Department, Transportation Department, and After School Programming.
- Organize field trips.
- Liaise with food and nutrition services for LS.
- Monitor and maintain student attendance through a systems approach.
- Manage all budgets in the LS office (state orders, office and classroom supplies, division orders).
- Support student life operations (lost and found, etc.).
- Perform other duties as assigned by the LS Director.
Collaborative Duties and Responsibilities
- Support communication between school and home through incoming calls, texts, and email.
- Welcome all guests to the LS Office.
- Assist in coordinating special projects and events in LS.
- Support student health, behavior, and any emergencies where necessary.
- Maintain an organized work environment on a daily basis.
- Respond to phone calls in a timely manner.

Work Environment
While performing the duties of this position, the employee regularly works indoors and outdoors. The individual is responsible for the safety and well-being of students. This person is evaluated by the Lower School Director.
