Now is an exciting time to join the Network Program team as it prepares to relaunch in Summer '23. This position will become foundational to the growth of the newly formed Fred Hutch Cancer Center through the Network Program's pursuit of excellent clinical and research partners in the region, transforming oncology care. The External Relations Liaison I facilitates and implements specific initiatives developed within the Network Program structure, tailored to each affiliate network member site. This role serves on a dynamic team responsible for supporting projects that impact multiple organizations externally, and works internally with departments across the organization, requiring moderately complex liaison skills.
Responsibilities
- Serve as a liaison between affiliate member sites and Fred Hutch Cancer Center, to support services which enhance the delivery of oncology care for members, while aligning with clinical and research goals for Fred Hutch.
- Primary point of contact for affiliate-related questions, and responsible for directing questions to appropriate internal resources.
- Annual development and coordination of Network Continuing Medical Education (CME) series, including post-CME activity such as honorarium processing.
- Responsible to produce flyers, postcards, and other content in a timely manner to publicize events, and explore new avenues and methods for publicity. Ensure the success of the event including attendance and quality of interactions with attendees.
- Responsible for communication channels geared for Network Members, regarding relevant clinical or research news and updates, meetings/conferences/education, and maintaining contact lists.
- Track action items, and other activities in Salesforce, SharePoint, and Asana. Write and distribute meeting minutes to external members.
- Develop and maintain detailed project schedules, including administrative tasks.
- Plan travel for member retreats and events, including travel arrangements, developing multi-day itineraries and using critical thinking skills to anticipate, problem solve, organize and optimize large group meetings and activities.
- Plan and coordinate efforts including Network Member on-site shadowing, tours and visits; assist in developing & designing programs as required.
- Enthusiastically promote the organization's programs and partnerships.
- Assist with projects including, but not limited to, researching and compiling information, producing and distributing findings. Takes lead on special projects as assigned.
- Prioritize work and fulfill other duties as assigned by the director and manager of the department.
Qualifications
Required:
- Bachelor's degree or equivalent experience
- 2-3 years of relevant healthcare experience, with progressively complex project management and experience in a fast-paced environment
- Excellent interpersonal skills, written and verbal communication skills.
- Strong technical aptitude for digital or virtual meeting platforms, such as CVENT or Zoom Webinar, and digital communication channels, such as listserv and MailChimp.
- Microsoft Office applications including Microsoft Outlook, Word, Excel, Power Point.
- Attention to detail, ability to troubleshoot or anticipate and adapt to change.
- Understanding of, and competence in, highly professional realm requiring diplomatic communications with internal and external groups, with effective fielding of inquiries and professional representation of the program.
- Work independently with minimal supervision, using initiative and sound judgment in carrying out responsibilities within the framework of the department procedures.
- Must have a valid Washington Driver's license. 25% travel required: for overnight travel for meetings and events. Ability to work evenings and weekends on occasion.
- Diplomacy and understanding of political sensitivities. Tactful approach in handling confidential and sensitive information and a high sense of responsibility and discretion.
Preferred:
- Familiarity with oncology services, direct patient experience in a health care setting, program development
- Experience supporting accredited health care, nursing, technical or clinical educational programs, and/or experience in an educational, teaching or related field.
- Previous experience in a customer relationship management role, including familiarity using Salesforce or related CRM system is highly desirable.
- Project management software experience is highly desirable.
This position is patient facing and/or requires access to Fred Hutch clinical facilities. As such, full COVID-19 vaccination is required as a condition of employment, without exception. Booster doses are strongly recommended but not required. If declining a booster, completion of the COVID-19 Vaccination Status Form Questionnaire and COVID-19 Booster Declination Training is required. The annual base salary range for this position is from $67,445.00 to $101,167.00 and pay offered will be based on experience and qualifications.
