The College of Saint Benedict and Saint John’s University Libraries invites applications for the full-time, benefit eligible position of Transcript and Eligibility Coordinator.
This position maintains primary responsibility for distinct functions within the office – athletic eligibility, transcripts and all educational verifications.
The person in this position processes all transcript requests for current and former students. This person is responsible for the review and verification of student athletic eligibility for both the College of Saint Benedict and Saint John’s University. This person is also responsible for all online and manual educational verifications. This position is also responsible for the maintenance of the files for all present and former students of the College of Saint Benedict and Saint John’s University.
The College of Saint Benedict (CSB) is a liberal arts college for women, and Saint John's University (SJU) is a liberal arts college for men and a graduate School of Theology and graduate Nursing programs for both men and women. SJU is the home of the Hill Museum & Manuscript Library and the Collegeville Institute for Ecumenical and Cultural Research. The campuses are located in the central lakes area of Minnesota, surrounded by more than 3,000 acres of pristine forests, prairies, and lakes. The campuses are minutes away from St. Cloud, an increasingly diverse regional center with a population of over 100,000, and 70 miles from Minneapolis and St. Paul. Responsibilities
Records Management: (35%)
Manage and prepare transcripts as requested by students, former students, alumni, alumnae, and school officials through online, in-person and written requests. Management of this processing requires handling the information transmitted through the National Student Clearinghouse online system, responding to email and phone inquiries while accommodating student deadlines, when appropriate. Verify the receipt of funds from the National Student Clearinghouse and manage the deposit of fees for all other transcript requests.
Maintenance of all student academic records (paper, microfiche and digital) for both current and former students at CSB and SJU. Including the processing of name and social security number changes for both current and former students. Monitor the receipt and uploading of high school transcripts for incoming first year students. Coordinate and process address changes for current students.
Athletic Eligibility Oversight: (25%)
Verify and maintain all the athletic eligibility rosters for CSB and SJU varsity sports and select club sports. This includes determining student eligibility, providing rosters to outside agencies (MIAC, NCAA) for certification of eligibility, maintaining historic records of rosters, updating the Banner student information system, and running ad hoc reports for coaching staff.
Educational Verification Oversight: (20%)
Verify student educational verifications through the National Student Clearinghouse online system as well as other manual requests, as needed (forms, letters, etc.). Oversee the enrollment and degree file process through the National Student Clearinghouse including remedying errors or omissions.
Process undergraduate student withdrawals from the institutions. This includes updating their transcript, academic record and reporting the information to the National Student Clearinghouse.
General Duties: (20%)
Assist with regular and daily contact with students, faculty, and others seeking Registrar’s Offices services through walk-in, telephone, mail and e-mail inquiries. The person in this position must be familiar with the Banner student information system, Banner Web Self Service, and other student records maintained by the office. Enter scores for Math/Foreign Language and other placement or proficiency exams.
Manage the admission and registration of the special student population. Assist with course pre-registrations for specific students, such as Nursing cohorts, Fine Arts Scholarship students and other individual courses. Also assist with updating registration holds each semester.
Manage mail service through the U.S. Postal Service. Includes assisting with the mailing of diplomas.
It includes the understanding and enforcement of college/office policies and procedures that pertain to students and faculty. Requires a general understanding of graduation requirements, general education requirements, registration policies, etc. Assist with degree auditing as needed.
As part of the Registrar’s team, this position assists with major projects related to the operations of the office at various times of the academic year, as the job duties allow. This may include working on holidays and for other office or institutional events such as Labor Day, end of term processing during the winter break, or Commencement.
High school diploma or some post-secondary education/technical training
Ability to learn various online systems - NSC to process transcripts and enrollment verifications and MIAC to verify athletic eligibility, etc.
Previous data management and record keeping experience or ability to demonstrate logical thinking skills.
Ability to work independently and complete assignments with numerous interruptions. Requires strong organizational skills and the ability to prioritize multiple tasks and time sensitive projects.
Maintain a high level of competence is expected, including making judgments independently regarding the accuracy of information/data and exercising discreet judgement and confidentiality.
Beginner to intermediate skill level in Microsoft Office products, including Word, Excel and Outlook
Collaborator – ability to work well with all groups of people within the institutions, including participation in several administrative teams both internal and external.
Strong communication skills, both written and verbal, to collaborate with users at all levels within the organizational structure.
