This position has responsibility for the operation of a major administrative College activity, or difficult administrative and secretarial work in an office with College-wide responsibilities, or in an unusually complex academic department. May perform duties described under the lower title, CUNY Office Assistant (04802). A CUNY Administrative Assistant position will be assigned to either Level 1 or Level 2. A position assigned to Level 1, with wide latitude for the exercise of independent initiative and judgment, performs office or secretarial work in various units, following relevant departmental, College, and University procedures. New York City College of Technology (City Tech) of the City University of New York (CUNY), a comprehensive college in downtown Brooklyn offering 58 associate and baccalaureate degrees, invites applications for a CUNY Administrative Assistant in the Restorative Dentistry department, which is housed in the School of Professional Studies.
The Administrative Assistant will work closely with departmental leadership to provide comprehensive departmental administrative support and provide a front-line of communication for students in order to advance the School's mission and goals.
Reporting to the Chair of the Department of Restorative Dentistry, the CUNY Administrative Assistant will:
Manage the daily administrative operations and communications, including maintaining the website and digital presence, in the Department of Restorative Dentistry (RESD).
Serve as a liaison for students, faculty, and staff between RESD and administrative offices at the college.
Coordinate, organize, and perform daily administrative duties; manage basic office functions such as communications, meeting schedules, work plans, and distributing information. Type letters, memoranda, charts, and similar materials. Prepare for, attend, and take minutes at all scheduled faculty and staff meetings.
Enter and maintain departmental records such as inventory control records, course rosters, directories, and schedules. Update office databases, lists, and files to ensure completeness and accuracy.
Assist in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
Provide instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules. Facilitate informational and orientation sessions for students and faculty. Facilitate campus visits and lecture series for visiting professionals and prospective student tours.
Assist students with registration and continuous enrollment as well as navigating course selection, policies, and procedures; assist students with web-based platforms such as Degreeworks, CUNYfirst, Blackboard, and Schedule Builder.
Lead proactive advising for all students on course enrollment, early career choices, academic standing, and other policies.
Meet with instructional team members to assist with planning departmental and student activities.
Report on activities and outcomes; assist with report writing, assessment, and data collection.
Assist search committees with recruitment and on-boarding of instructors. Conduct job interviews to select office personnel.
Facilitate ordering and purchasing of office supplies.

Permanent status as a CUNY Office Assistant at Assignment Level 1 (Pay Level 3) or Assignment Level 2 (Pay Level 4).

Candidates must take and pass a job-related Civil Service Examination that measures critical competencies for the position.
Candidates must undergo a background check, including a fingerprint screening and a verification of their education and work history.

The following knowledge, skills, and abilities are preferred:
Bachelor???s degree is not required, but is preferred.
Ability to work both independently and in group settings.
Proficiency in Microsoft Office Suite, specifically Excel and Word.
Knowledge of Microsoft 365, Outlook and Forms.
Strong oral, written, and interpersonal communication skills.
Effective writing, editing, proofreading, and presentation skills.
Knowledge of FERPA.
Knowledge of CUNY's academic and administrative processes and systems.
Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff and community members.
Experience using CUNYfirst (PeopleSoft) is a plus.
Ability to communicate in languages outside of English is a plus.
