Bard College?s Graduate Programs in Sustainability (GPS) has an opening for a full-time Program and Events Coordinator. The NYC-based, GPS Program and Events Coordinator will be responsible for coordinating (1) Bard MBA Residency Weekends in NYC, and (2) planning, promotion and delivery of a monthly evening Bard GPS event in NYC.
Residency Coordination covers onsite operations for the MBA program during the four-day weekend residencies once each month, as well as administrative tasks leading up to the residency weekend. Tasks include, but are not limited to:
Leading the set-up and take-down of classrooms and meeting rooms
Technology setup and trouble-shooting
Managing catering (both orders and set-up)
Room pick-up and garbage and recycling management
Setting up guest passes
Interfacing with the property manager as needed on repairs or other issues; ensuring building security
Responding promptly and courteously to student and faculty concerns relating to operations
Virtual Classroom Management, including, but not limited to:
Canvas class creation and support
Zoom account management
Zoom link creation
The Coordinator also liaises with student groups to support special events throughout the academic year.
Public Event Support includes:
Managing registration systems
Reserving spaces
Catering orders
Day-of set-up and take-down
General support during events
Attending occasional NYC area sustainability networking events
Researching and scheduling speakers
Working with the MBA marketing team to develop communications plans to promote events
The Events Coordinator will report to the Assistant Director of the MBA. This full-time appointment is for 1 year, with a potential to renew following the completion of the contract.
This position requires strong interpersonal and communication skills, the ability to relate to a broad range of constituents (students, faculty, industry partners, etc.), an aptitude for project management, attention to detail, and the ability to work well both independently and collaboratively. The Events Coordinator should be based in the NYC metro area, and will work remotely, excluding attendance at events and activities.
At least two years of relevant experience in events management
Proficiency using Google Suite, Microsoft Office, Zoom and comfort giving online and in-person presentations is expected
The position requires high level verbal and written communication skills and organizational and time management skills
Willingness to communicate with event talent, audiences and vendors
The position requires the ability to work occasional weekends and evenings
Experience with Adobe Creative Suite, HubSpot, social media management, and/or Canva is also preferred
Physical Requirements
Must be able and willing to set up and take-down monthly events, including the ability to lift 40 lbs

Compensation: $23-$26 per hour
This salary range reflects the College's good faith and reasonable estimate of the compensation for the position at the time of the job posting.
