Job Description: BASIC FUNCTION:
The Coordinator for the Mercy Center for Spiritual Life provides administrative support for the Director and staff and manages organizational and business needs of both the Mercy Center and Our Lady of Mercy Chapel. The Coordinator serves as a welcoming presence offering hospitality in the mercy tradition to people of all faiths and spiritualities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Marketing & Communications:
- Oversee marketing and communications operations for the Mercy Center for Spiritual Life including integrated social media outreach, website and online communications, digital signage, posters, print publications and email Share Mercy Center programming with all relevant University calendars.
- Manage and mentor marketing and advertising federal work study students.
- Serve as liaison with the Office of Strategic Communications And Public Affairs.
- Independently manage budgetary needs of the Mercy Center for Spiritual Life including preparing check requisitions and purchase orders, maintaining budget spreadsheets and monthly reconciliation of procurement card accounts, and compiling monthly and year-end financial reports.
Programmatic:
- Assist campus ministers in preparing for retreats, projects, programs, alternative spring breaks and other functions. As required, assist with set up for liturgical events in the chapel, preparation of special programs, dry-cleaning of vestments and other needs.
- Coordinate requests for Mass intentions for the deceased and living in concert with University Chaplain. Prepare death notices for members or close relatives of the university community in consultation with the University Chaplain, Director of the Mercy Center for Spiritual Life and the Office of Communications.
- Organize the Mercy Center for Spiritual Life's kitchen and room reservations with special attention to liturgical needs and Mercy Center events. Maintain all booking reservations for major events as well as food orders.
Administrative:
- Provide administrative support to the Director of the Mercy Center for Spiritual Life and supports daily operational activities of the Mercy Center for Spiritual Life in an efficient manner.
- Answer and screen incoming telephone calls; receive, assist, and host visitors to the office in a professional and hospitable manner.
- Maintain a clean and welcoming space in the Mercy Center, storage closet and kitchen. Order and maintain office supplies for the Mercy Center for Spiritual Life, liturgical supplies for Our Lady of Mercy Chapel, snacks, beverages, and other supplies as needed for student programming. Serve as liaison with Facilities.
- Record and transcribe minutes for all staff meetings and maintain and organize all related records, cloud and paper files.
- Prepare and edit office correspondence, emails, reports, agendas, schedules, announcements, confidential materials and other related materials as directed by the Director of the Mercy Center for Spiritual Life.
- File and maintain all office and Roman Catholic Church records; obtain necessary documents for sacraments and register with local parish as necessary.
- Supervise general work of federal work study students.
OTHER DUTIES AND RESPONSIBILITIES:
Perform other duties as required by the Director of the Mercy Center for Spiritual Life.
LICENSES, TOOLS, AND EQUIPMENT:
Valid driver's license required.
ENVIRONMENTAL CONDITIONS:
The incumbent is not substantially exposed to adverse environmental conditions.
Job Requirements:Some college or professional training required. A Bachelor's degree and experience in higher education preferred. Proficient computer skills required, with strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook) and familiarity with the Adobe Suite (Acrobat, Photoshop, InDesign), as well as the capacity to learn and use campus information technology and manage databases. Strong oral and written communication, organizational and interpersonal skills are required. Must be able to work independently with minimal supervision and demonstrate initiative in approaching tasks. Confidentiality is of the utmost importance.
