Maintenance Control Manager is responsible for the management and coordination of the Maintenance Control Center for the Physical Plant. Provides administrative support and serves as the communication hub for the department, issuing work orders (over 10,000 a year) to service the entire campus to include buildings, dormitories, historic homes, office buildings, and large facilities. Leads and directs the work of the MCC staff, interacts regularly with management, and offers guidance to shop supervisors and trades specialists, coordinating with all shop supervisors so the end project gets completed on time and accurately.
Minimum Requirements
A high school diploma and increasingly responsible administrative experience in a customer service environment. A bachelor’s degree is preferred. Experience working in the field of facility maintenance would be helpful. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Must have exceptional customer service skills and a helpful attitude, as well as, the ability to exercise patience, diplomacy and tact. Must be able to communicate effectively both orally and in writing, as well as, establish and maintain effective working relationships with department personnel, students, parents and the campus community. Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook. Must have the ability to analyze complex situations, develop and implement administrative procedures to resolve issues, and evaluate efficiency/effectiveness of procedures in order to ensure appropriate and complete resolution. Ability to collect and assemble information in a clear, concise manner and accurately communicate this information to others is required. Must be detail-oriented and possess strong organizational, interpersonal, and supervisory skills. Ability to manage a heavy workload with multiple deadlines and competing priorities is essential. Must be familiar with a variety of standard custodial and maintenance concepts, practices, and procedures. Relies on extensive experience and judgment to plan and accomplish goals. Wide degree of creativity and latitude is required.

Must be able to work Monday through Friday. Must be reliable in attendance. May be required to be on campus prior to and immediately following all emergencies such as hurricanes, floods, etc.

1. Manages and coordinates the issuance of work orders (over 10,000 a year) that serves the entire campus; to include around 11 residence halls and 31 historic residence houses, and supporting offices; supporting over 3,400 residents, live-in staff and guests. Compiles data, evaluates and monitors the progress of online work order status and coordinates work flow to move the requested work through to the appropriate and timely resolution, this is done using TWO different types of work order systems; utilizes both work order systems and Excel to compile data into a variety of specialized records and reports for PP Director, Deputy Directors, Project Coordinators, administrative personnel, shop supervisors, & shop employees. Evaluates the department’s work order and communication processes and establishes procedures to resolve issues to improve efficiency. Acts as a project manager on work orders that involve multiple shop coordination, making sure that the entire project flows smoothly between all the shop supervisors. Assists DDM with special projects as assigned, such as, tracking and compiling Scorecard data, etc.

2. Conducts review of maintenance status and professionally responds to maintenance issues in residence halls and College facilities. Communicates daily with customers exercising the utmost patience, diplomacy, tact and professionalism to resolve maintenance, custodial, and construction project issues. Provides expertise, develops and establishes procedures to resolve issues and improve efficiency; and conducts training for the staff and students to maximize the usage of the work order system.

3. Oversees daily operation of Facilities Maintenance Control Center. Analyzes work order data and disseminates information pertaining to maintenance work order issues to supervisors and management as appropriate. Follows up on previously reported issues to ensure timely completion and satisfactory resolution. Investigates and resolves complaints. Follows up with maintenance staff and supervisors to determine status of outstanding work orders. Analyzes reported issues to determine if the problem is recurring or chronic, warranting referral to management for further investigation of the root cause. Evaluates the severity of reported maintenance issues and escalates chronic and critical situations to Deputy Director of Facilities, and Director of Facilities as necessary.

4. Maintains all of the hardcopy files, computer files and databases pertaining to work orders for the Physical Plant. Performs the duty of primary back-up for all responsibilities of the MCC staff. Reviews bi-weekly customer service surveys for issues related to substandard repairs, customer satisfaction, and chronic or repeat problems.

Is responsible for performance evaluation and participates in the decision making for hiring/dismissal of staff. Establish annual training in both customer service and CMMS for MCC Staff.
