Overview
The Paul and Marcia Wythes Center on Contemporary China (CCC) at the Princeton Institute for International and Regional Studies (PIIRS) is seeking an Center Coordinator to provide detailed, operational assistance for the Center as a whole, during the academic year.
The Center Coordinator will serve as scheduler and faculty assistant for the Director, be responsible for a variety of administrative and financial support duties to the Assistant Director, and manage all Center-related events, workshops, conferences, and meetings. In addition, the coordinator is responsible for planning and execution of the Center event activities with regard to internal and external publicity in coordination with PIIRS and other departments.
The position is full-time, 10-month position.
Responsibilities
Events:
Coordinate presentations, workshops, colloquia, and stakeholder meetings, including initiating meeting polls and email responsible for the logistics of Center's public speaker series, including speaker travel planning and reimbursements, coordination with World Travel and Finance in making such travel and reimbursements, etc. Organize catering for receptions, presentations, workshops, and colloquia, including pre- and post-event preparation and cleanup Handle all printing and digital distribution of documents relating to committee presentations, workshops, and other meetings Coordinate with PIIRS and other university offices to manage event publicity through the website, department, and other forums Email list update and maintenance, weekly newsletter preparation and distribution
Support for Director:
Manages the Director's academic administrative needs, such as maintaining Canvas, uploading documents, communicating with the students and Teaching Assistant, assisting with exams, room scheduling, communicating with the department undergraduate and graduate program managers. Responsible for the Director's scheduling, reimbursements, correspondence, and other faculty and Center Director needs. Requires high attention to detail in managing the Director's extensive schedule, which includes substantial international travel, in-person and virtual meetings. Liaise with university and non-university staff to manage Director's schedule, travel, and appointments Also manages the Director's graduate student workshops, including liaising with the student coordinator, ordering food, reserving space, and acting as an A/V assistant for presentations. Manages Director's research workshops related to the Center's activities, such as READI and other meetings.
Prepares and reconciles expense reports Assists with grant and research management and research integrity and assurance forms, training, policies, and guidelines, in conjunction with Office of Population Research, Office of Research and
Project Administration Assistant Director, and other relevant offices:
Orders office and other supplies as needed for the Director. Manage Director's technology needs with SCAD and other university staff. Administrative, Financial, Building Management Communicate with visitors, lecturers, and staff through correspondence in meetings and email on administrative and scheduling matters Receive and sign for mail and packages; send out regular mailings such as Annual Report, etc. Handle all routine ordering from Prime Marketplace and other suppliers to restock office supplies, beverages, and other goods and services prepare both PO and non-PO payments; Submit and follow up on work orders for space maintenance needs like lighting, heating/cooling, cleaning, etc. Assist with subcontractor or independent contractor contracts and payments Oversee routine website and ListServ updates Facility with technology and apps as needed by the Center
Qualifications
Essential qualifications and minimum required knowledge:
Bachelor's Degree or equivalent
3+ years of work experience
Proficient writing and editing skills. Knowledge of AP and Chicago editing and publishing styles
Experience in events management or related administrative work
Knowledge of business process management tools and financial applications like PeopleSoft/Oracle, Concur,
ability to independently write and send email newsletters and event campaigns via Constant Contact, Mailchimp or similar email platform
ability to draft communications, such as emails, recommendation letters, and other correspondence
Ability to multitask and work independently with high attention to detail and follow through
Enjoy working in a fast-paced, or project-driven office
Ability to tactfully handle confidential information
Preferred knowledge, skills, abilities:
Experience with other cultures and regions
Interest in China and Asia
