GENERAL STATEMENT OF DUTIES:
The Career Services Assistant - Administrative Assistant I provides administrative and student career support services to the Career Services Department.
The incumbent assists the Career Services department with student advising in career-related needs while maintaining a supportive and professional rapport. Provides support for campus career-related events, and data management support to the internship program, internal job board, and the online Career portal system, Handshake.
In addition, the incumbent will assist the Career Services Department with the coordination and execution of special projects, coordinating the daily operations of the office, ensuring the proper adherence to policies and procedures, maintaining a proactive and energetic rapport with students and staff, and providing data management support.
ESSENTIAL FUNCTIONS:
Provides administrative support to ensure efficient office operations.
Maintains physical and digital filing systems.
Provides outstanding customer service to all visitors and callers. Screen and prioritize questions and visits.
Provides assistance and support for 'walk-in' service to faculty/staff, students, parents, and off-campus visitors.
Responds to questions and requests for information for both on and off-campus constituents via email, phone, and mail. Refer non-routine inquiries to appropriate levels.
Process incoming correspondence in order to update the job boards with new job descriptions and internship postings, ensuring accuracy and legitimacy of each posting.
Assist constituents with locating available resources.
Assist students with registering for and utilizing online Career Services Resources.
Communicates and networks with employers to establish relationships.
Schedule career counseling appointments.
Provide referrals, resources, and career services information.
Support the office with administering surveys and collecting data on events, student utilization, and additional office activity. Prepare data for reports as needed.
Provide data entry of information into excel and other software systems
Provide fulfillment support and serve as a resource for employers who want to recruit North Shore Community College students.
Responds to emails and other digital queries and correspondence.
Drafts and edits letters, reports, and other documents.
Coordinates logistics for meetings, including room setup.
Take notes at meetings as needed; Contribute to team effort by assisting with special projects and additional tasks as needed
Assist with maintaining department events and staff calendars, make travel arrangements and set up meetings.
Job Requirements:
Associate's Degree in a related field, plus two years related experience or an equivalent combination of education and experience.
Excellent organizational skills, ability to plan, and complete multiple tasks on schedule.
Exceptional computer skills, and proficiency with Microsoft products.
Ability to maintain accurate records.
Ability to gather and compile information from records and documents, to prepare reports.
Excellent interpersonal, oral and written communication skills.
Ability to establish rapport and maintain harmonious working relationship with faculty, staff and students from diverse backgrounds
Ability to exercise discretion in handling confidential information.
Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.
