We are seeking a dynamic and detail-oriented Program Manager for Departmental Administration to support administrative staff across six departments. This role is integral to fostering collaboration, ensuring process compliance, and supporting faculty and administrative operations. The Program Manager will oversee staff management, onboarding, training, and professional development for the six department administrators, and act as a liaison between departments and university leadership. Essential Duties & Responsibilities
Staff Supervision & Development:
Supervise and provide guidance to departmental administrative staff across six departments.
Develop training programs to ensure staff are equipped to perform their roles effectively.
Manage the performance review process, supporting professional growth through individualized development plans.
Foster collaboration and community-building among six department administrators through regular meetings, team-building activities, and peer-learning opportunities.
Faculty Administration & Support:
Provide logistical guidance and support for faculty recruiting efforts across departments.
Serve as a second reviewer for faculty appointment processes, ensuring accuracy and compliance with university policies.
Assist with faculty hiring, reviewing packets, and ensuring adherence to proper procedures.
Support faculty leaves, concurrent faculty appointments, and renewals.
Assist with faculty promotion, tenure, and evaluation processes to ensure consistency and compliance with university standards.
Process Compliance & Operational Oversight:
Act as an administrative liaison with the Arts & Letters Dean's Office to ensure alignment and smooth communication of processes.
Ensure compliance with university policies related to hiring, financial transactions, and faculty administration.
Oversee and approve expense reports, serving as a backup approver when necessary.
Provide oversight for purchasing, procard management, and other financial transactions to ensure proper use and compliance.
Backup Administrative Support:
Serve as a backup for single-staff departments during absences and leaves, ensuring continuity of operations.
Faculty & Chair Collaboration:
Collaborate with Department Chairs to address administrative needs and ensure smooth departmental operations.
Serve as a trusted resource for faculty and chairs, supporting them in their academic and administrative responsibilities.
Regularly meet with Department Chairs to assess departmental needs, challenges, and priorities.

Minimum Qualifications:
Education & Experience:
Bachelors degree with 3-4 years of related experience
Skills:
Highly collaborative with an adept ability to create strong relationships
Ability to work independently and as part of a team in a fast-paced environment
Strong interpersonal and communication skills
Experience working to improve and increase efficiency within standardized systems
Excellent project management skills; capacity to manage multiple projects simultaneously with follow-through and efficient execution
Strong attention to detail and organizational skills with the ability to balance multiple priorities
Ability to handle sensitive and confidential information with discretion
