The Notre Dame Alumni Association is searching for a new team member to serve as the Alumni Groups Coordinator to assist with event execution, project management and customer service for members of the ND Alumni Association group boards.
The ideal candidate will utilize their skills in many ways, including providing administrative support, planning, organization and execution of a variety of programs and events. This role combines strong time management, attention to detail and relationship building skills with a deep appreciation for the mission and values of the University of Notre Dame. A background in diversity, equity, and inclusion will be valuable in this role.
Duties and Responsibilities:
Provide support to the ND Alumni Association Groups: Notre Dame Senior Alumni, Diversity Council, Notre Dame Women Connect, YoungND and five Diversity Boards which includes:
Provide administrative, logistical, event, and project management support including preparing and updating materials along with data analysis
Customer service, serve as a primary point of contact for roughly 92 national group board members
Create, maintain and proactively update documentation, schedule meetings, and provide supporting materials for meetings
Other administrative support for volunteer group leaders and board members
General administrative support and other duties includes:
Responsible for assisting in planning, executing and evaluating for Fall and Spring board meetings on campus
Manages relationships with specifically assigned board chairs including Notre Dame Senior Alumni Board, Notre Dame Women Connect Board, Hispanic Alumni Board, Native American Alumni Board
Leads the recruiting, election, and on/offboarding program with Vice Chair and Operations officers
Filing expenses, tracking spending and reconciling accounts
Supervise a student worker and assist with training on department software and assigning related work projects
Support Senior Director of Alumni Programs with calendar management, agendas, filing expenses, etc.
Assist with NDAA events such as Reunion, Football Fridays, Leadership Conference, etc.

Strong project management skills, including the ability to juggle multiple priorities and meet tight deadlines with exceptional time management and organizational abilities
Proven experience in event planning and execution
Experience tracking expenses and maintaining financial accountability
Outstanding verbal and written communication skills
Highly self-motivated with a proactive approach, capable of quickly adapting to changing priorities and learning new tasks
Proficiency in Google Workspace (Google Suite), Canva for design, and a willingness to adopt and master new software tools
Administrative experience in scheduling meetings and coordinating events for others
Must be authorized to work in the United States without visa sponsorship
Preferred Qualifications:
Bachelors degree
