We are seeking a Sr. Events Coordinator who will provide expert event planning, communications, and project management skills to support research initiatives within the Vice Provost for Research (VPR) team. Reporting to the Assistant Director of Research Initiatives, the Sr. Events Coordinator will interact with university senior leadership, including the president, vice presidents/provosts, deans, directors, and their respective staff. The role leads the planning, design, and implementation of all events supporting the Bloomberg Distinguished Professorships (BDP) Program and research initiatives, including but not limited to the Catalyst and Discovery Awards and President?s Frontier Awards.
As a representative of the Office of the Provost, the ideal candidate must be committed to responsiveness, customer service, excellence, and teamwork while possessing strong organizational and interpersonal skills. They will bring experience in marketing, social media, event planning, and project management, with demonstrated expertise in event logistics and vendor coordination. The successful candidate must be highly proactive, take initiative, exercise sound judgment, and work independently while maintaining a collaborative approach.
The ideal candidate should live locally to facilitate in-person responsibilities such as venue tours, stakeholder meetings, event staffing, and other duties as needed.
Specific Duties & Responsibilities
Plan and lead coordination of high-profile academic and programmatic events, often in collaboration with BDPs and BDP cluster leaders throughout the university.
Manage all events related to the President?s Frontier Awards and Catalyst & Discovery Awards.
Develop and execute comprehensive event timelines while managing multiple concurrent events with competing priorities.
Oversee all venue-related matters, including selection, rentals, photography, IT, A/V, design, decor, parking, and public safety coordination.
Provide onsite leadership during events and manage real-time problem solving as needed.
Oversee financial aspects of events, including initiating and managing requests for proposals and vendor contracts while coordinating with university purchasing.
Responsible for monitoring event budgets, processing financial transactions, and ensuring compliance with university policies and purchasing agreements.
Serve as primary liaison for all event-related communications and coordination between external vendors, industry contacts, university leadership, alumni/alumni relations, and other stakeholders.
Contribute to event briefings for leadership and manage confidential and sensitive information.
Provide overview event information for BDP reporting and the Vice Provost for Research annual report.
Initiate, create, and oversee publication of relevant materials for research initiatives, working with internal and external vendors.
Collaborate with the Communications Specialist to update websites and disseminate relevant content.
Research and finalize information for leadership briefings, talking points, letters of correspondence, and quarterly BDP reporting as needed.
Articulate the mission of the VPR team to visitors and external contacts.
Perform other duties and assist with special projects as assigned.

Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint) with ability to learn new software systems, including event management platforms.
Exceptional written and verbal communication skills with proven ability to maintain confidentiality.
Collaborative team player who can also work independently.
Physical requirements: Ability to lift up to 25 lbs.

Minimum Qualifications
High School Diploma or graduation equivalent.
Five years related experience.
Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Five years of progressively responsible event management experience.
Experience with SAP, database systems, design software, and scheduling software.
Familiarity with event systems like Cvent or Eventbrite.
Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
Detail-oriented with strong organizational skills.
