Job Summary:
The Senior Executive Assistant supports the Executive Director, senior leadership, and all staff through operational efficiencies and good governance processes. The role involves a combination of administrative support, project coordination, volunteer management, and stakeholder engagement. Maintains a position of high visibility to board members and key volunteers. This is a remote position.
Duties/Responsibilities:
Supports the senior leadership team in the maintenance, tracking, and analysis of key performance indicators (KPIs) that assists the staff and volunteer leaders to understand and measure current and past programming trends
Coordinates and participates in NAEMT and NAEMT Foundation board meetings; prepares meeting materials and minutes; supports the transition of outgoing/incoming board members
Ensures organizational compliance with governing documents; maintains and updates policy & procedure manual; files annual reports with Secretary of State offices
Assists the Executive Director by managing engagement with external partners; drafts and refines correspondence, presentations, and other communications in collaboration with senior leadership; ensures MOUs and contracts are up to date and deliverables are being met
Provides administrative support for the Candidacy and Elections Committee; manages the annual election cycle process
Provides administrative support for other councils and committees as needed
Reviews Committee Interest Form submissions and distributes appropriately; supports the appointment process for volunteer positions; ensures staff liaisons update committee rosters
Creates organization-wide project management processes, prioritizing workflows and enabling centralized and streamlined communications
Serves as point of contact and administrative support for organizational liaisons and representatives
Provides administrative support for industry meetings held in conjunction with NAEMT flagship events (EMS on the Hill Day, Annual Meeting at EMS World Expo)
Serves as a point of contact and operational support for external contractors and vendors
Supports the review and notification process for scholarships offered through NAEMT and the NAEMT Foundation
Schedules internal and external meeting requests
Maintains staff and board SharePoint sites and electronic filing system; oversees archival of association files and records
Participates in committees, task forces, and other groups, both internally and externally, as needed
Monitors trends in EMS and association management
Manages special projects and performs other duties as assigned
Required Skills/Abilities:
Strong project management and organizational skills; keen attention to detail
Strong analytical and problem-solving skills
Excellent verbal and written communication skills
Excellent customer service orientation and ability to manage sensitive and confidential situations with discretion, professionalism, and diplomacy
Previous experience working with boards of directors and knowledge of board governance
Ability to work both collaboratively within a team environment and independently
Demonstrated proficiency in the use of Microsoft Office Suite and project management software
Some travel required
Education/Experience:
Bachelor’s degree or equivalent professional experience
Minimum of 5 years’ experience supporting senior management or executive-level staff
