Job Summary:
This role supports the President & CEO of STS with a variety of responsibilities that engage all facets of the organization, providing an opportunity to learn more about the tourism industry and association management. The Executive Assistant serves as a key liaison and point of contact, ensuring the smooth coordination of administrative tasks, project management, and communication with internal and external stakeholders.
Key Responsibilities:
Administrative Support:
Manage calendar updates, travel arrangements, and meeting preparation for the President & CEO.
Handle incoming calls and emails pertaining to STS with professionalism and discretion.
Coordinate staff, board, and committee meeting preparations, including compiling monthly reports, agendas, and other correspondence as needed.
Maintain the master calendar and provide a bi-weekly summary of scheduled activities.
Manage mail distribution, bulk mailings, and assist with board and committee email communications via Atlas.
Assist in the development of annual budgets, marketing plans, and strategic plans as directed.
Project Management & Operations:
Utilize project management tools (e.g., Asana) to track and coordinate tasks, ensuring timely completion of initiatives.
Support cross-departmental projects by managing timelines, tracking progress, and communicating updates.
Identify process improvements to enhance workflow efficiency.
Creating and maintaining SOPs for the organization.
Human Resources
Onboarding, offboarding of employees, record keeping of current and past employees
Coordinating new hire orientation, preparing offer letters, and ensuring a smooth onboarding experience for new employees.
Managing payroll, employee benefits, and compensation plans.
Ensuring that employee handbooks and HR procedures are current and legally compliant.
Conference & Event Coordination:
Coordinate updates to event RFPs and compile RFP responses as directed by the VP or President & CEO.
Provide registration assistance, logistical coordination, and on-site support for STS events.
Collaborate with the event planning team to ensure attendee communications and materials are accurate and timely.

Minimum 5 years of administrative experience with managing competing deadlines and executive-level project management.
Working knowledge of Asana or similar project management tools.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and online collaboration tools (e.g., Dropbox, SharePoint).
Strong communication, customer service, and relationship-building skills.
Excellent organizational skills, with a high level of attention to detail and ability to anticipate needs.
Ability to work independently with minimal supervision in a dynamic environment.
Bachelor’s degree or equivalent experience preferred.
Association management or hospitality/tourism experience is a plus.
