Support annual license fee collection and member processing in addition to maintaining member files. Leading or supporting tech-related projects aimed at enhancing administrative capabilities, advancing technology for administrative functions. Identifying, implementing, and optimizing software and tools to improve the efficiency of administrative operations (e.g., document management systems, communication tools, workflow automation).
RESPONSIBILITIES AND DUTIES:
Assist with license fee collection including mailing statements, opening and batching return statements, contacting members to resolve problems/issues, etc.
Assemble new admittee packets and attend swearing in ceremonies. Prepare welcome letters for new admittees.
Provide support to Membership Services Director for House of Delegates and Board of Governors including conducting annual election of Circuit Delegates, updating Board Information Sheet and Bar Calendar and digitally archiving Board and House materials on server.
Prepare annual committee appointment letters.
Issue Bar Member ID Cards
Provide support and coordinate activities for committees, sections and task forces.
Coordinate the Annual Meeting of Chairpersons and compile entity annual goals.
Process incoming and outgoing mail. Maintain postage machine and provide monthly postage reports.
The ideal candidate should be comfortable working with various technological tools to support administrative functions. Key technological needs for this position include:
Office Suite (Microsoft Office/Google Workspace): Proficiency in word processing (e.g., Microsoft Word/Google Docs), spreadsheet management (e.g., Excel/Google Sheets), and email/calendar management (e.g., Outlook/Google Calendar)
Form-Building Tools (e.g., JotForm, Google Forms): Experience in creating, customizing, and managing online forms for data collection, surveys, and event registrations.
Project Management Tools – using technology to track project progress and collaborate with teams.
Document Management Systems (e.g., Dropbox, Google Drive, SharePoint): Experience in managing and organizing digital files, ensuring they are easily accessible and securely stored.
Other duties as assigned.
REQUIRED EDUCATION, EXPERIENCE AND SKILLS: Associate or Bachelor’s degree, Proficient in the Microsoft Office and Google Workspace suite of products. Excellent oral and written communication skills and organizational skills; ability to work well with members and staff; ability to manage time efficiently, organize activities and meet deadlines; assertive; self-starter. Ability to handle sensitive financial information with discretion and maintain confidentiality. Organizational, technical, and problem-solving skills, as well as the ability to stay updated on emerging technology trends.
DESIRED ADDITIONAL QUALIFICATIONS: Experience in a law firm or other legal setting. Minimum of 1-2 years of administrative experience, with specific experience in creating or managing forms using JotForm or similar online form-building tools.
Experience with data entry, report generation, and using web-based tools or platforms.
Previous experience in an administrative support role, preferably in an office or membership-based environment.
Organizational, technical, and problem-solving skills, as well as the ability to stay updated on emerging technology trends.
PHYSICAL REQUIREMENTS: Ability to lift up to 20 pounds. Must be able to remain in a stationary position 70% of the time and occasionally move about inside the office to access file cabinets, office equipment and meet with staff. Ability for overnight travel throughout the state and to national conferences and meetings.
