Job Description:
To perform confidential, specialized duties in support of the Executive Dean of Student Success and Retention necessary for an efficient and effective division to include the planning, development and implementation of functions relevant to the daily operations and needs of the Division of Student Success and Retention. These duties require a high degree of responsibility, discretion and confidentiality, using independent judgment.

Provide high level administrative support to the Executive Dean of Student Success and Retention for the purpose of ensuring a smooth operation of the division.
Schedule meetings, preparing minutes/agendas/handouts, assisting with data collection and report preparation and processing purchase requests.
Generate, receive and maintain confidential and sensitive employee and student files, information and reports and ensure security of files in compliance with institutional standards and policies.
Compile, compose edits, produce and distribute a variety of documents including correspondence, policies, reports, speeches and/or presentations.
Provide analysis and support for student non-academic supports and retention activities.
Maintain accurate and detailed calendar of events, due dates, and schedules as they relate to Student Success and Retention to ensure compliance with established deadlines and troubleshoot conflicts where they arise.
Prepare and monitor department budget balances and prepare budget transfers as directed by the Executive Dean of Student Success and Retention.
Screen and prioritize phone calls, emails, and other forms of communication. Handle inquiries, provide necessary information, and redirect or escalate as required.
Assist in coordinating special projects, events, or initiatives.
Code and process invoices and purchase orders, scheduling and facility requests, and personnel postings.
Establish and maintain an efficient filing system, both physical and digital, for documents, reports, and other records. Retrieve and distribute files as needed. Ensure accuracy and adherence to company guidelines.
Confidentially maintain personnel files for all division staff in accordance with CCC policies.
Differentiate between emergency and routine work requests and refer them to appropriate supervisor.
Make travel arrangements for executives or senior personnel, including booking flights, accommodations, ground transportation, and preparing itineraries.
Conduct research and gather information on various topics and projects as assigned. Summarize findings and present them in a clear and concise manner.
Work closely with other office staff to maintain excellent customer service.
Uphold strict confidentiality in dealing with sensitive information, including personnel matters, legal documents, financial data, contracts, and other proprietary information.
Minimum Qualifications:

Associate's Degree required.
The ability to work with honesty and integrity, independently or with a team member.
Demonstrated experience in handling confidential and sensitive information with integrity and discretion.
Ability to prioritize tasks, handle multiple assignments simultaneously, and meet deadlines while maintaining attention to detail.

Advanced knowledge of Microsoft Office Suite (Word, Excel and PowerPoint, Outlook) and other relevant software applications (working knowledge of Ellucian Colleague and use of AI platforms preferred).
