The New England School of Acupuncture seeks an Academic Assistant to perform a variety of administrative responsibilities to support the workflow and efficient operation of the New England School of Acupuncture.
Serves as the first point of contact for the department; greets visitors and callers
Regularly reviews, produces and records reports and correspondence for the Dean and Associate Dean, and Director of Clinical Education
Conducts research to respond to requests and summarize findings
Prepares typed reports, memorandums, and meeting minutes
Creates academic schedules for NESA and confirms availability of faculty members.
Prepares adjunct contracts and payroll authorizations for approvals and distribution.
Ensures time-critical issues are identified and addressed through collecting information and scheduling, organizing, prioritizing, arranging and keeping good records for the Dean, Associate Dean, and Director of Clinical Education including managing calendars, travel arrangements, special functions and School calendar of events each semester
Manages and maintains department files and program data, such as faculty, student & alumni information, tracks and enters data, produces reports,
Arranges and coordinates room, catering and other provisions for departmental meetings, events and ceremonies
Assists in the preparation and distribution of programmatic materials (e.g., course packs, syllabi, course evaluations)
Prepares and maintains files required by accrediting agencies; collects data to meet program accreditation; assists in the preparation of accreditation reports.
Manages inventory of department supplies; generates and tracks purchase orders.
Processes invoices for payment; tracks department expenditures
Assists with office mailings; sorts and distributes mail
Provides Clinic Front Desk Staff coverage as needed
Provide direct communications to students on a variety of matters
Contributes to sustaining and enhancing an inclusive working and learning environment
Additional responsibilities may be assigned by the supervisor
Required:
A minimum of a high school diploma and two years of experience in an administrative support position in a professional setting. Bachelor’s degree preferred.
Proficiency with technology, including Microsoft Office Suite (Word, Excel, PowerPoint and Outlook), Smartsheet, Blackboard, Zoom; ability to learn new software/databases quickly and proficiently
Strong organizational skills, attention to detail and proven ability to take initiative in project management
Excellent interpersonal and customer service skills
Strong written and verbal communication skills
Ability to maintain confidentiality
Ability to work in a fast-paced environment, set priorities and meet deadlines
Physical Requirements: • Work is mostly sedentary and majority of time is spent sitting • Must be able to talk, listen and speak clearly on telephone
