This position manages and supports the work of the Committee on Faculty Appointments (CFA), relating to faculty reappointment, tenure, promotion, merit, and sabbatical leave decisions. Responsible for short and long-term planning requirements for the upcoming year’s meetings, decision deadlines, and policy issues, taking into account anticipated volume of reviews, sequence of decision actions, and ensuring all key processes are conducted properly and on schedule.
Position Responsibilities:
Support the CFA by preparing agenda and materials for weekly committee meetings, taking minutes, and preparing materials for committee members. Ensure all relevant and required information is brought to bear in committee’s decisions. Draft letters and memos on behalf of the committee. Maintain confidential files. Administer leave application process for sabbaticals, early leaves, and professional development leaves, including leave intents, applications, grant submissions, notification letters, and leave reports.
Serve as liaison between Provost and Dean of Faculty Affairs, CFA, Reappointments and Promotions committees (R&Ps), and faculty under review. Guide faculty through various appointments and review processes; advise faculty under review as well as department chairs/program directors/R&P chairs of procedures and respond to their questions.
Oversee external evaluation process, including follow up with reviewers from other institutions and redaction of evaluation letters.
Manage the CFA calendar of activities and decisions; process unsolicited letters; track R&P composition (e.g., outside members, participation while on leave); prepare semiannual published list of faculty under review; monitor annual conversation verification forms.
Establish new procedures and systems as necessary to support committee needs while ensuring consistency with college legislation and appointment guidelines; maintain various appointment checklists and guidelines.
Skills and Abilities Required:
Demonstrated experience in position(s) requiring confidentiality, diplomacy, trustworthiness, and good judgment.
Excellent project management and organizational skills, with high level of attention to detail and follow up.
Strong interpersonal skills; excellent written and oral communication.
Ability to balance multiple priorities and deadlines.
Fluency with use of various software programs, including word processing, Google Apps (including Gmail, Calendar, Drive, and Groups), Excel spreadsheets and databases, and Dropbox.
Additional information:
The position requires flexibility in work hours to accommodate CFA’s weekly meetings, which typically extend until 5:30 p.m. each Wednesday during the academic year.
