Responsible for providing intermediate level professional education program support utilizing knowledge of professional education, curriculum standards, and professional student learning for the Office of Learner Development, which is housed within the Medical School. The Office of Learner Development supports medical student academic performance and wellbeing and health. This position supports student groups and their initiatives and events, assists in the design and implementation of co-curricular course materials on CANVAS, and supports the team through project management and documentation. Receives some guidance and direction. Promotes the general welfare of those involved in educational programming, and safeguards the organization in its role within the systems and processes. This person reports to the Director of the Office of Learner Development.
About the Job
The Program Coordinator is a benefits-eligible 80% appointment (32 hrs/week) in Undergraduate Medical Education (UME) at the University of Minnesota Medical School providing complex facilitation and management for the Office of Learner Development.
Note: This is a hybrid position, does require weekly on-campus presence (preferably at least 2 days per week) and some occasional evening or weekend work.
Duties and Responsibilities
40%: Program Management
Manages the day-to-day operations and complex schedules for the programming of the Office of Learner Development and director.
Drafts, edits, and rewrites program materials, announcements, and other electronic/written materials related to programs
Gathers and analyzes data to assess the effectiveness and impact of programs and activities, identifying areas for improvement and implementing process improvements (i.e. cost-benefit analysis and accountability improvements)
Consults with students, staff, faculty, departments, and other stakeholders regarding programmatic needs for groups and individuals
Updates and maintains the website and other online sites [e.gmed.umn.edu, Canvas].
Prepares documents for EFS processing
Maintain organizational files and databases
30%: Events Management
Oversees the planning and execution of major Learner Development annual events, and activities and workshops throughout the year including Orientation Programming, Co-Curricular Course programming, whole-class mock board exams, Activities Fair, student panels and forums, and other events as assigned.
Work with student groups (i.e. Peer Mentorship Committee, Wellbeing Committee, Peers Supporting Peers, Peer Tutors, Houses Program, Third-Party Resources Program) to coordinate and schedule multiple small-scale events throughout the year.
Provide back up to Events Manager as needed for major UME events
30%: Student Group Support
Advises and consults on student groups, providing direction, guidance and administrative support to the Peer Mentorship Committee, Wellbeing Committee, Houses Program, Peers Supporting Peers, Peer Tutors, Third-Party Resource Ambassadors and other related groups as assigned
Assist in managing budgets for program student groups
Acts as a liaison between students, student groups, and departmental leaders
All required qualifications must be documented on application materials
Required Qualifications:
BA/BS with at least two years of experience or a combination of related education and work experience to equal six years.
Demonstrated ability to take initiative, work independently, set priorities and meet deadlines while handling a wide range of complex administrative projects simultaneously.
Ability to use varying styles, approaches, skills and techniques that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace.
Demonstrated experience with computer software required, including Microsoft Office Suite and Google Suite of Applications (Calendar, Drive, Gmail, etc)
Ability to work flexible hours â” evenings and weekend shifts may be occasionally required.
Preferred Qualifications:
Experience supporting programs for Medical Students, Residents, or Fellows.
Experience working in higher education.
Experience with University of Minnesota systems (i.e., Enterprise Financial System (EFS), purchasing, Canvas, Astra)
Familiarity with Drupal website development & Canvas Course management basics (e.g., making updates, routine revision tasks) or capacity to learn
Ability to establish and maintain collaborative working relationships with all internal and external stakeholders from diverse backgrounds at all levels of the organization.
