This position: â— is responsible for overseeing the day-to-day activities of the Surgical Critical Care and Cardiothoracic Surgery Fellowship programs, working in conjunction with their Program Directors and the Surgical Education team. â— is a hybrid position, usually working 1 day per week on Wednesdays in person and 4 days per week at home. â—‹ The candidate will typically work 1 to 2 Wednesday evenings per month (up to 7:30p; these days, the candidate would shift their work hours to 10:30a-7:30p, as well as three Saturdays per year and one Sunday per year.)
â—is financially supported to attend an annual national specialty conference â— is required to attend pre-planned in-person and virtual events on an ad hoc basis throughout the year. The candidate MUST be able to work autonomously and collaboratively, sometimes outside of the regular M-F workday,
The successful candidate will have very strong organization, communication, attention to detail and prioritization skills.
Job Duties:
50% SCC Surgery Fellowship Administrator
Recruitment & Onboarding activities: Alongside the Fellowship Program Director, review the initial list of strongest candidates to be interviewed, manage the implementation of all interview sessions and rank meetings, and participate in the final selection committee toward inputting the rank list. Responsible for understanding and communicating the timeline and execution of National Resident Matching Program match activities, including Supplemental Offer and Acceptance Program, to all Fellowship stakeholders. Accreditation activities: Collaborate with accrediting bodies. Monitor, maintain, and effectively communicate program reporting requirements to program stakeholders. Recommend program-level solutions in response to policy changes to program leadership. Prepare and provide internal and external reports to program leadership toward the continuation of ACGME Accreditation, including WebADS, GME Track, Fellow and Faculty Surveys, American Board of Surgery for Fellowship program, written and oral examinations, In-Training Exam proctor and documentation of graduation requirements. Meetings: Oversee the administration of and budget for fellowship-specific conferences and meetings, Journal Club, and any other meeting deemed necessary to support the Surgery Fellowship Program.
Administrative: Responsible for managing program Duty hour compliance, managing fellow file documentation under GME and ACGME documentation guidelines, and recommending annual changes to the Program Policy Manual. Generate letters as needed, counsel fellows on policies and procedures, and liaise between fellows and the Office of General Counsel with due process during remediation and probation. Responsible for the administrative workflow of mid-year and year-end fellow evaluations, time away requests, rotation and call schedules, reimbursements, scheduling speakers for conferences, and other duties related to the Fellowship Program. Monitor program spending, investigate issues, and report to program leadership.
50% Thoracic Surgery Fellowship Administrator
Fellow specific: counsel fellows on policies and procedures, assist fellows and Office of General Counsel with due process during remediation and probation, fellow evaluations both mid-year and year-end, time away schedule, call schedule, and other duties related to Fellowship Program administration
Accreditation activities: Maintain ACGME WebADS, GME Track, Fellow and Faculty Surveys, American Board of Thoracic Surgery for Fellowship program, written and oral examinations, In-Training Exam proctor, and documentation of graduation requirements Administrative: Support the Program Director, Duty hour compliance, timesheet audits, reimbursements, social media, fellow file document management, provide annual changes to the Program Policy Manual, and generate letters as needed. Recruitment & Onboarding activities: review ERAS applications, assist in the selection process of applicants to be interviewed, coordinate interview sessions, coordinate rank meetings and input the rank list, NRMP Match activities, new trainee hospital onboarding, and orientation. Meetings & Conferences: Participate in monthly SEO meetings, coordinate and support fellowship-specific conferences and seminars, Journal Club, mock orals, including food catering orders, web conferencing setup, scheduling speakers, conference reminders, and any other necessary meetings to support the Fellowship Program. Coordinate the annual fellowship graduation event.

Required Qualifications: · A BA/BS and two years of experience, or education and experience to total six years · Outstanding communication (oral and written), interpersonal, and organizational skills with keen attention to detail · Demonstrated excellence in project management · Demonstrated ability in the Electronic Financial System (EFS) · Demonstrated ability to move multiple projects forward at the same time · Appreciation for ambiguity and changing priorities
Preferred Qualifications: · Work experience in a higher education setting · Working knowledge of RMS, ACGME, American Board of Surgery, NRMP, ERAS · Strong Excel and/or data analytic skills · Demonstrated ability to work across varying levels of an organization, i.e., leadership, colleagues, and trainees
