University of Maryland, Baltimore (UMB) is seeking an Office Manager to join Facilities Management - Architecture, Engineering, Construction Services. Design & Construction provides facilities programming, design, and construction services to the UMB schools and administration, ranging from the smallest renovation job to the largest capital project.

PRIMARY DUTIES
Responsible for the day-to-day administrative support functions for the department, inclusive of data entry into the Project Management Information System. This includes establishing new projects within the PMIS, adding project team members, processing invoices, initiating requisitions, and providing general support to the project managers.
Perform daily administrative duties related to financial operations, procurement, and human resources.Schedule departmental training, maintain training database, and organize office activities.
Coordinate and communicate department wide initiatives including recruiting efforts, department meetings, unit calendars (conference rooms, leave calendar, etc.), etc.
Ensure operations of equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; establishing standing supply orders (paper, toner, etc.).Restocking supplies, equipment setup and breakdown, catering requests, and ensuring general upkeep of common office space. Periodically analyze internal processes, equipment, and supplies, and implements changes to improve operations.
Act as a liaison with other departments and outside agencies, which may include high-level staff such as management team.Handle confidential and non-routine information and explains policies when necessary.
Develop and provide input for office/operational unit operating budget.Achieves financial objectives by managing the annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.Assist budget office with billing for project fees inclusive of preparation and distribution of Regional Campus Invoices.
Supports purchasing and travel management for administrative unit, including procurement card purchases, initiating purchase requisitions, and processing travel reimbursement.
Produce and edit the regular publication of summary project performance reports for meetings with clients and university leadership. Ensure project managers have updated all project information on biweekly basis.
Maintain badging and building access control for department and vendor personnel.
Qualifications
MINIMUM QUALIFICATIONS Education: Bachelor's degree Experience: Two (2) years of experience in administrative or business operations work. Experience in the design and/or construction industry preferred. Other: Related experience may be substituted for education.

HIRING RANGE: $67,000 - $74,000 per year (Commensurate with education and experience)
