Description: Serves as project manager for Oceasoft research alarm system roll out across campus. Provides estimates/quotes to customers, installs, set-up, and support for new alarm system on campus. In addition, this position will serve as a liaison between customers, RFSS team, and service provides such as HST planers, and U Construction/CPM service providers to help coordinate delivery of maintenance or facilities construction projects as well as oversight of the research alarm system.
About the Job: (30%) Customer Relations ï‚· Act as a liaison between University departments, vendors, and building occupants to maximize research equipment uptime and ensure occupants needs are addressed ï‚· Serve as the main point of contact for the Oceasoft Research Alarm system to provide guidance and resources for all alarm related questions, concerns, or needs ï‚· Collaborate with service providers and occupants to ensure all project requests are completed satisfactorily for the customer and to ensure Service Level Agreements are adhered to ï‚· Assist in scheduling and communicating building disruptions to alarm monitoring or for project work to ensure limited disturbance and to advocate on behalf of the research community and service providers ï‚· Collaborate with occupants and service providers to develop alternative strategies and accommodations when building disruptions are required ï‚· Provide feedback and updates to all parties to improve and streamline coordination efforts for future work and disruptions ï‚· Contribute to the departmentâ™s ongoing development series, which provides both remote and on-site training and development sessions for building occupants ï‚· Evaluates new Software/Customer service applications and identifies system requirements - presents to leadership for approval/implementation ï‚· Acts as point of contact for AHC Planners and operational oversight of all AHC projects in the RFSS portfolio. ï‚· Develops improvement plans in response to customer surveys (25%) Building Safety and Operations ï‚· RFSS point of contact for Oceasoft research alarm monitoring system including project scope, installation, troubleshooting, customer education and training, monitoring and issue response ï‚· Respond and communicate building emergencies and urgent matters to building occupants in a calm and efficient manner. Issues may include but are not limited to equipment failures, unexpected facilities outages and damages, and environmental hazards ï‚· Participates in security audits to ensure security and safety maintained for occupants at all times ï‚· Identify and contact all parties necessary to address urgent issues and to minimize the impact on building occupantsâ™ safety and research ï‚· Maintain and regularly update Oceasoft Research Alarm procedures and contacts ï‚· Track and schedule preventative maintenance work to optimize research equipment uptime ï‚· Seek out and compare cost-effective estimates for service repairs and preventative maintenance for research equipment
ï‚· Plans and coordinates equipment operational audits - partners with customers and RFSS Facility Coordinators and Student Administrator to ensure timely and accurate audit results. ï‚· Responsible for facility equipment uptime throughout the portfolio. This includes assisting Facilities Coordinators with the oversight of equipment as well as financial responsibility within department determined parameters. This includes but is not limited to: equipment repairs, equipment replacement strategy, equipment sun-set strategy, occupant training on equipment, and preventative maintenance strategies.
(25%) Administration and Logistics ï‚· Utilize fiscally responsible practices when making decisions and recommendations for purchasing of equipment portfolio wide on behalf of the department ï‚· Act as the first point of contact for service repair and preventative maintenance for all of the RFSS owned back-up Freezers throughout the portfolio ï‚· Update, order, organize and manage general inventory of Oceasoft supplies ï‚· Assist in the process of moving researchers in or out of laboratory space portfolio wide by partnering with a variety of departments including DEHS, CPPM, U Construction, FM District, department administrators, researchers and service providers ï‚· Reinforce lab move-out policies in conjunction with CPPM to ensure space is left in move-in ready condition ï‚· Partners with CPM, U Construction, and HST Planners to initiate communication, scheduling, and/or follow up of required lab alterations needed to accommodate new researchers and/or new research equipment throughout the RFSS portfolio. ï‚· Create and document tasks, projects, and procedures for new Oceasoft Research alarm monitoring system. ï‚· Assist departmental leadership with projects as assigned ï‚· Prepares communications and makes presentations on assigned projects (15%) Partners with Portfolio Manager to oversee 2 student technical positions for program. (5%) Other Duties as Assigned: ï‚· Participate in an after-hours on-call rotation ï‚· The employer retains the right to change or assign other duties to this position
Required Qualifications: ï‚· BA/BS plus at least two years of experience, or a combination of related education and work experience to equal at least six years may be substituted. ï‚· Apply knowledge and skill to a recurring task or activity with emphasis typically on precision and timeliness of execution ï‚· Customer service experience ï‚· Experience with Computers: Word, Excel, data entry/processing, & database software in a Windows environment, as well as the Google suite of programs ï‚· Demonstrated/documented ability to clearly communicate in written and spoken English Preferred Qualifications: ï‚· Demonstrate the ability to deliver quality customer service results while multi-tasking, prioritizing, and meeting deadlines ï‚· Ability to work independently or with little direction ï‚· Experience working under pressure (responding to multiple time-sensitive duties and requests) in a fast-paced diverse customer service environment ï‚· Demonstrate problem-solving, decision-making, and independent thinking abilities, especially when handling the unexpected ï‚· Ability to determine when to seek appropriate guidance from departmental leadership for escalated situations ï‚· Knowledge and experience of project management principals ï‚· Ability to participate in an after-hours call rotation. Ability to respond to freezer issues, customer responses, and equipment emergencies knowledgeably and in a timely fashion. Represent department as responder in an after-hours equipment issues, primarily remotely but also in person as deemed necessary ï‚· Excellent command of organizational, communication, and interpersonal skills, with a strong aptitude for self-motivation
