Job Type: Full-time, Hybrid - remote and onsite, Flexible hours
Pay: $35,000 per year; 4 days a week
The Bookkeeper is responsible for performing all tasks necessary to accomplish Montessori School of Huntsville payroll processing and accounts payable and receivable objectives. Specific duties include managing the Payroll process in a professional and knowledgeable manner, processing Accounts Payable expenses, and managing all utility and vendor payments as required. The successful candidate will have a desire to use their skills to help create high-performing Payroll/AP/AR services focused on supporting an independent, nonprofit Montessori school.
Qualifications:
An Associate’s degree in Accounting, Finance, or Business with a minimum of two years’ experience which includes account payable processing, human resources and administrative duties, preferably in the nonprofit arena
Knowledge, Skills, & Abilities:
Experience working with Quickbooks, Bill.com, When I Work, and OnPay software platforms
Proficient in Excel/Google Sheets
Self-motivated to carry out responsibilities independently, pay close attention to detail and accuracy and be able to meet deadlines
Ability to communicate effectively, verbally and in writing
Ability to work effectively in collaboration with diverse groups of people
Superior time and project management skills
Primary Responsibilities:
Payroll:
Time sheet reconciliation and processing of payroll
Provide MSH employee’s with a self portal to view all payroll data (OnPay)
Manage hr@ email address with questions from staff
File quarterly payroll taxes
Manage garnishments and other deduction payments
Assist the CPA/HoS with the annual 990 report
Additional duties as assigned
Tuition Drafting:
sync Quickbooks and Bill.com invoices prior to 1st of the month
Automate monthly ACH tuition payments
Check for any chargebacks and correspond with families to resolve issues
Work closely with Hos and Admissions Director on any changes in charges for student monthly services
Create invoices for monthly incidental charges via bill.com
Manage accounting@ email address with any tuition or draft issues with families
Bookkeeping and Accounting:
Enter all operations accounts payable on a weekly basis (Quickbooks)
Review, and process all MSH accounts payable on a weekly basis
Process a weekly or semi monthly check/ach run as needed to meet due dates
Review monthly receipt folder and match to Quickbooks entries
Process reimbursements
Independently manage all day-to-day activities related to Head Start accounts payable,credit card use, cash disbursements and ensuring accuracy and compliance with established procedures
Benefits Administration:
Present medical, dental, vision, and supplemental benefit options to Client and administer plan with yearly review with HoS
Manage 403b retirement accounts for employees
enroll/unenroll employees from benefit plans as needed
