The Facilities & Operations (F&O) Directorate's mission is to enable great science. The Guest Services Division, within the F&O Directorate provides services that support and assist the world-class scientific research performed at Brookhaven National Laboratory (BNL). Guest services are available to all BNL departments, divisions, staff, guests, users, and visiting researchers.
Position Description
Brookhaven National Laboratory's Facilities & Operations (F&O) Directorate seeks an Event Services Supervisor. This position reports to the Supervisor of Conference & Food Services, in the Guest Services Division and will be responsible for coordinating BNL-funded on-site events of 10 or more people.
Essential Duties and Responsibilities:
Supports the event organizers with coordination of Conference Compliance, Web Services, Information Technology Division (ITD), Transportation, off-site vendors, etc. to plan and execute conferences and events.
- Ensures tasks are completed within required deadlines (process can take months to one year to plan).
- Coordinates menus, delivery times, breaks, and setup/break down of food orders with customers, Special Services Attendants, and Food Services Supervisor.
- Ensures room setups are to customer satisfaction and adheres to environmental safety and health (ES&H) standards.
- Coordinates audio-visual (AV) needs with ITD.
- Coordinates large setups with Warehouse Supervisor.
- Works directly with the Facility Project Manager (FPM) for ongoing room space needs.
- Ensures proper equipment is ordered in advance and setup.
- Directs Special Services Attendants to ensure proper setups and breakdowns of meetings spaces.
- Assists Laboratory personnel with the scheduling of conference rooms.
- Works with the various Points of Contact (internal and external) to ensure events and conferences are successfully executed.
- Works with Food Services Supervisor and customers to source catering menus/quotes, monitor ongoing change requests to menus, and changes to number of people attending.
- Provides support, as needed, for all areas of the Conference & Food Services departmental activities to ensure the smooth operation and services sitewide.
- Assists in the development of overall business strategies for the self-sustaining, revenue-generating support service activities to ensure on-going fiscal sustainability of areas of responsibility.
- Ensures safe, effective, and ES&H compliant operations, with a focus on prevention, protection, and conservation of resources.
- Fosters a culture of service excellence and continuous improvement with a focus on customer service, efficiency, and quality.
- Maintains awareness of environmental impact of work and apply pollution prevention and waste minimization techniques.
- Identifies potential hazards, environmental concerns, and unsafe conditions or practices in work or at work site and implement or suggest controls to minimize risk.
Required Knowledge, Skills, and Abilities:
- Bachelor's Degree in Business Administration, Hospitality Management, Communications, or related field; or equivalent experience 2:1 (experience: college) years.
- Minimum of four (4) years' relevant work experience.
- The ability to direct exempt, non-exempt, and bargaining unit staff.
- Excellent communication (verbal and written) skills.
- Proven ability to work in collaborative, team-oriented environment.
- Experience leading and managing teams/workgroups.
- Able to work effectively under pressure, meeting deadlines and balancing multiple priorities.
- Advanced interpersonal skills to work effectively with a wide range of constituencies in a diverse and inclusive community.
- Ability to exercise sound judgment with advanced problem-solving and decision-making skills.
- Discretion in handling confidential and/or highly sensitive matters.
- Proficiency with MS Word, Excel and Outlook.
- Ability to work flexible hours that may include early mornings, nights, and weekends.

Brookhaven Laboratory is committed to providing fair, equitable and competitive compensation. The full salary range for this position is $78,400- 117,600 year. Salary offers will be commensurate with the final candidate's qualification, education and experience and considered with the internal peer group.
