POSITION SUMMARY
Senior Facilities Coordinator Role: Ensuring successful service delivery of client facility needs with a strong emphasis on hospitality and customer focus.
Support: Direct support to the facility management team with ongoing responsibilities, highlighting the importance of a welcoming and client-oriented approach.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Responsibilities will include but are not limited to:
Facility Management: Manages and executes the preventative maintenance program and maintenance of equipment and facilities to effectively reduce unscheduled downtime. Remain knowledgeable regarding all operational aspects of building systems. Ensure that all site-specific documentation and reports are completed accurately and on time. Ensure the day-to-day operations of the facility, including custodial, life-safety, engineering, site services, and general maintenance, are implemented and carried out in a manner consistent with C&W policies and client directives.
Client Inquiries: Address concerns with a focus on timely and quality resolution, ensuring a high level of customer satisfaction. Coordinates maintenance tasks between operations, maintenance team, contractors, and vendors to minimize downtime. Respond to requests via CMMS ticketing system, according to SLA.
Issue Resolution: Respond to all facility inquiries and complaints with a customer-centric approach to problem-solving. Manage complex work orders, including environmental issues, with a priority on client satisfaction and service quality.
Financials: Assist in the development of annual budgets for the property. This includes contributions towards a five-year plan of maintenance, facility improvement, and cost reduction initiatives. Ensure monthly accruals, purchase orders, and invoice compliance. Prepare, review, and give initial approval of site budgets, financial reports (monthly and quarterly), contracts, expenditures, and purchase orders related to the facility.
Vendor Coordination: Work closely with outside contractors for service and repairs, emphasizing customer service excellence.
Communication: Maintain ongoing communication with contractors, clients, and team, ensuring clear and hospitable interactions. Consult with various departments regarding desirable modifications of existing equipment and facilities and the possible replacement of existing equipment which will improve operations and maintenance.
Training: Train vendors on work order and billing procedures with a focus on clear communication and customer service.

IMPORTANT EDUCATION
Degrees: Associates or Bachelors degree in a related field preferred, highlighting the ability to understand and meet client expectations.
IMPORTANT EXPERIENCE
Facilities Management: Experience in facilities/property management, showcasing a commitment to excellent client service.
Maintenance Expertise: Skilled in handling community maintenance requests, including plumbing issues, minor electrical repairs, and replacing light bulbs and ballasts.
Customer Service: Previous experience in customer service roles, demonstrating a history of client-focused performance.
Project Management: Capable of leading key initiatives and projects with a results-oriented approach.
Organizational Skills: Excellent organizational and prioritization abilities to manage complex tasks effectively.
Analytical Thinking: Strong analytical skills for problem-solving and resolution.
