1. Oversees, approves, and schedules the use of the Jackson School of Global Affairs facilities utilizing relevant software. Approves space rental at the Jackson School of Global Affairs by external constituents. In collaboration with the Director of Finance and Administration, develop policies and procedures for the use of facilities and for the proper maintenance of all facilities, technology, inventory, access, and security-related items as appropriate. 2. Oversees all construction and maintenance projects with the Director of Finance and Administration, including capital construction projects and refurbishments to existing buildings. Works with the Director of Finance and Administration to ensure the programmatic functions of the Jackson School of Global Affairs are met. Works with Yale Facilities as the "client" representing the Jackson School of Global Affairs: attends meetings, reviews designs, and advocates for qualities. 3. Participates in the budget development to ensure adequate operating funds are available for buildings and physical plants. Manages the budget for all buildings and physical plants, including providing reporting and analysis and adhering to university financial deadlines. 4. Ensures proper maintenance, security, access, and custodial needs for the Jackson School of Global Affairs. Interacts with Yale's university maintenance, security, and custodial departments. Conducts daily walkthroughs and monitors conditions of all buildings, space, technology, and inventory. 5. In collaboration with the Director of Finance and Administration, reviews and approves requests for office moves; supervises all aspects of these moves, including approving purchases for the new spaces. 6. Manages the School's access control systems, key distribution, and security personnel. 7. Serves as primary contact for out-of-hours emergencies related to facilities (alarms, etc.). 8. Oversees the moveable equipment inventory for the School. 9. May be involved in managing the World Fellows apartments, especially subleasing to non-Jackson units. 10. May perform other duties as assigned.
Required Skill/ability 1: Computer, technological, and audio-visual experience, with proficiency in Microsoft Office, Zoom, Outlook, and other relevant software.
Required Skill/ability 2: Knowledge of facilities, including physical plant, and operations in higher education or a school environment.
Required Skill/ability 3: Ability to work independently as well as in a team to manage multiple responsibilities and set priorities. Knowledge of maintenance schedules and how to exercise good judgment of priorities, given appropriate resources.
Required Skill/ability 4: Ability to interact professionally with faculty, staff, students, and external contractors, with excellent verbal and written communication skills.
Required Skill/ability 5: Strong project management skills, with excellent attention to detail, and demonstrated critical and strategic thinking.
