The Sr. Project Manager-Office of the Dean of the College of Continuing and Professional Studies (CCAPS) works collaboratively as a member of the Collegeâ™s senior staff team to manage and advance strategic projects, processes, and initiatives that support the work plan and responsibilities of the College. Additionally, the position manages the operations of the office of the dean and provides administrative support. To effectively perform this role, the incumbent develops subject matter expertise in areas of designated responsibility and maintains ongoing communication and collaboration with the College, staff colleagues, and key stakeholders across the University. This position provides strategic advice and guidance , possesses a high level of integrity, with a focus on excellence, and demonstrates discretion in sensitive and confidential matters.
This is a 100% time P&A position. Normal work hours are Monday through Friday from 8:30 am to 5 pm. This position reports to the Dean, and given the nature of the work, is expected to be on university premises four days/week.
The search committee will begin reviewing applications the week of December 2nd and will continue until the position is filled.
DUTIES:
Project Management 55%
Manage processes and contribute to improved systems that serve the academic oversight role of the Office of the Dean, ensuring responsiveness to stakeholders and compliance with University policies . Work closely with the leadership team on college wide projects and strategic initiatives.
Strategically partner with the College leadership team and other university stakeholders on projects and initiatives that address key issues and advance priorities of the Dean and College, ensuring alignment with University goals and priorities, effective and open communication, and timely completion of work products.
Project Management: Coordinates CCAPS-wide meetings for strategic planning, budget analysis, program lifecycle management and new initiatives. This includes agenda coordination, reporting, status updates and tracking project deliverables and KPIs.
Partner with CCAPS and University marketing and communications teams to develop strategic communications plans for the CCAPS Deanâ™s office.
Analytics and reporting: Coordinates CCAPS-wide reporting, strategic planning and multi-year roadmaps, budget and program performance analysis and reporting.
Deanâ™s Office Operations Management 20%
Oversees and directs all day-to-day operations to ensure the office functions effectively.
Financial and personnel: Manages temporary employees during short and long-term periods assigned to Deanâ™s office support. Participates in fiscal activities for the college budget on behalf of the deanâ™s office.
Identifies, analyzes, and formulates responses to complicated and/or sensitive or confidential inquiries, projects, and situations relative to advancing the strategic initiatives and objectives of CCAPS office of the Dean.
Support the LT in developing cross-organizational, multi-functional reports, to support college decisions and LT discussions.
Serve as office lead in coordinating day-to-day oversight of general office operations, such as: ordering office supplies, stocking the kitchen area, servicing of the copier and printers, etc.
Tracks and manages expenses and any relevant budgets that relate to the deanâ™s office and college-wide projects and events.
Event Management 15%
Event Management: Anticipates future events and leads operational planning for large-scale meetings such as Deanâ™s Town Halls and receptions, planning and managing the budget, location, and program. Supports the planning of college-wide events such as town halls, Spring and Fall CCAPS wide events and commencement, liaising with other Administrative Support team members.
Work closely with leadership team colleagues to plan and staff meetings, forums, and other events that advance the Deanâ™s agenda and academic administrative activities.
Deanâ™s Assistant 10%
Full responsibility for electronic, complex scheduling of activities for the Dean; obtain and provide input to the scheduling of commitments; provide all pertinent background materials for appointments and meetings in an organized manner.
Make travel arrangements; prepare all pertinent background materials for each trip in an organized manner and submit expense reports on the Deanâ™s behalf.
Serves as the primary point of contact and liaison for the Dean to both internal and external stakeholders. Drafts, reviews, and edits correspondence needing the Deanâ™s (Institutional Official) signature.
REQUIRED:
Bachelorâ™s degree and 6 years of related experience; or Masterâ™s degree with a minimum of 4 years of related experience
Demonstrated strong analytical and communication skills, including writing effectively and concisely in many formats, such as complex correspondence, reports, policy documents, agendas, and meeting minutes
Project management and event planning experience, including demonstrated excellence in setting priorities, problem-solving, and completing projects on time.
Deeply collaborative with documented success in leading major initiatives, projects, or tasks that require working with a broad community of students, staff, faculty, and other stakeholders in service of the collegeâ™s mission
Outstanding interpersonal skills, including demonstrated ability to work well independently as part of a team, and to develop strong relationships and effective partnerships
Strong experience and commitment to in advancing equity, diversity, and inclusion, and experience with a broad array of constituents
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and with google products
Familiarity with University of Minnesota or other complex higher education institutions
Preferred:
Prior experience working at the University of Minnesota.
