Position Title: Program Operations Coordinator Project: Thriving Hearts: Healing-Centered, Integrated, Community Maternity Care Level of Effort: 100% FTE during the Planning Year, and 100% FTE during CER Y1–5. Period of Performance: November 18, 2024 - March 31, 2025. CER Years: April 1, 2025- March 31, 2029
Administration and Leadership
Reports to Senior Project Manager, Kennedy Bridges, and co- Principal Investigators, Quintana Stewart and Alison Stuebe
Work closely with dynamic duos to design programs (Mama Hearts, Healing Centered Engagement, Loving Connection)
Provide administrative and technical to community partners, research colleagues, and early-stage investigators to execute project activities and to achieve project goals
General Responsibilities
Pre-Implementation
Establish research protocols, processes, and SOPs
Work with the Engagement and Implementation coordinator to develop implementation blueprints
Submit and maintain Thriving Hearts study on Clinical trials.gov and the UNC IRB
Perform or oversee literature reviews and secondary research to inform Thriving Hearts design and implementation
Provide oversight and guidance to student research assistants and practicum students
Implementation
Liaise between dynamic duos and Local Health Department champions regarding core programmatic components of the intervention
Document questions, barriers, and pain points
Track modifications to intervention components over the life of the project
Manage central components of intervention – e.g.
Mama Hearts care kit, DME vendor toolkit, provision of other care kit components,
Healing Centered Engagement online resources, eligible trainers, mindfulness program set up
Loving Connection text messaging platform, liaison with Legal Aid of NC, resource repository
Staff, Consultants, and Partners
Ensure up to date partnership agreements with external consultants and partners
In collaboration with the Evaluation Coordinator, facilitate timely invoicing and supporting documentation for reimbursement timely with adherence to UNC Office of Sponsored Programs guidance
Coordinate travel for external partners as necessary
Reporting
Support development and submission of research plan documents to PCORI
Support process evaluation activities as necessary in collaboration with Evaluation coordinator and Abacus TEAL team
Qualifications:
Bachelors or Masters Degree in public health, social work, public administration, or a related health or social science discipline
Previous experience working on projects related to maternal health, reproductive health, social determinants of health, health disparities, and/or health equity
Experience with managing projects with great attention to detail and strong organizational skills
Experience coordinating and supporting multisectoral collaborations. Ability to manage relationships with various stakeholders, including researchers, sponsors, regulatory bodies, and vendors.
Experience with research and/or clinical care, ideally with some experience with community-based participatory research
Familiarity with Institutional Review Board (IRB) processes and ethical guidelines for research with human participants
Ability to manage project timelines and resources effectively. Ability to estimate costs, track expenses, and manage budgets.
Strong verbal and written communication skills for reporting, presentations, and team coordination.
Proven ability to lead, motivate, and support a diverse team of researchers, assistants, and other staff.
