The Department of Emergency Medicine is seeking an Associate To. This individual provides high-level administrative support to the executive leadership team of the Department of Emergency Medicine; requires a high degree of responsibility, accountability, flexibility, confidentiality, and discretion; plans, directs, and oversees administrative support functions of the division of Research. Acts as a liaison between the Director and Vice Chair of Research, and high-ranking university, College of Medicine, and UC Health officials. Interfaces with organizations outside of the university such as non-profit foundations, professional organizations, drug development companies, and governmental agencies.
Essential Functions
Coordinate and manage executive calendars, arrange travel and process/manage expense reports, track receipts and complete reimbursement requests.
Support team in project management tasks, including tracking progress, updating timelines and coordinating team members as needed.
Organize and prepare for meetings, retreats and symposium by setting agendas, booking meeting rooms, arranging technology, ensuring materials are ready and taking and distributing minutes.
Handle sensitive information with the upmost confidentiality, professionalism and discretion.
Track and maintain publications for the department and coordinate with the ACGME submissions for research output.
Develop and assist in the design and production of posters, correspondence, letters of recommendation, reports and presentations
Build and maintain research resources (teams pages, website content, listservs, etc.)
Maintain grant templates and resources (biosketches, letters of support, timelines/tasks, facilities pages)
Assist with general office management duties, including ordering supplies, putting in maintenance orders and liaising with vendors, as needed
Maintain and organize electronic and paper files onsite and off-site storage ensuring proper tracking and easy access.

Required Education
Bachelor's Degree in a related field.
Eight (8) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
Required Experience
Four (4) years of experience in a related field. Experience may require one (1) year supervision.
Some positions may require experience in university administration.
Physical Requirements/Work Environment
Office environment/no specific unusual physical or environmental demands.
