Summary | The Assistant to the Vice President for Global Campus and Corporate Partnerships (VPGC) supports the operations of the Global Campus while supporting the Corporate Council; provides a high level of organizational, administrative, technical, budgetary, and confidential support, and assistance to the VPGC in an environment that is fast-paced, results-oriented, complex, and sometimes ambiguous; and maintains an organized and efficient flow of communications to and from the office and across departments.
The Assistant is expected to pay attention to detail, ensure accuracy; proactively problem-solve for the VPGC; adapt and respond quickly and positively to evolving organizational priorities and change; work across departments and externally to ensure attainment of organizational goals and priorities; work proactively, and collaboratively; apply continuous improvement strategies to everyday work. The successful candidate must be able to represent the VPGC with professionalism and strong ethics and function effectively under change.
| Responsibilities | • Manages daily operations for the VPGC by managing the calendar, and logistics, scheduling meetings and developing agendas, making travel arrangements, maintaining operational files, coordinating committees and working groups, and frequently communicating and interacting with staff, faculty, students, senior-level administration and external contacts. • Provide exceptional administrative support to the Vice President and Global Campus Staff • Produce written communication including the planning, developing, organizing, writing and editing of high-quality communication pieces. • Provide support to all Global Campus staff to develop partner relations and creation of new partner relationships • Responsible for project development, management, and oversight for a variety of organizational and operational activities and special initiatives, often in collaboration with the VPGC and other executives. • Support and management of Salesforce.com CRM • Assist in financial matters with the Director of Global Campus for accounts, including transfers, disbursements, and purchase authorizations. • Assist in Banner system to process blanket orders, purchase orders, customer invoices, check requests • Utilize the Web Focus reporting tool and Banner to generate financial reports and provide information to VPGC in conjunction with the Director of Global Campus • Work with confidential and highly sensitive matters. Engage in confidential consultation with staff, faculty, and students. • Commit to continuous improvement strategies and applying them to everyday work. • Apply safety-related knowledge, skills, and practices to everyday work. • Other duties as assigned | Required Education, Certifications, Licensures | • Bachelor’s degree in business or related field or an equivalent combination of education from which comparable knowledge and abilities can be acquired | Required Experience | • Experience using a variety of software packages, including but not limited to intermediate-level use of Microsoft Office applications and Google suite of applications, with strengths in Word, Power Point and Excel. • Four years clerical experience working in an administrative or academic office environment • Experience with scheduling, working with multiple tasks, events and adapting to changing needs • Experience with financial monitoring of accounts • Experience working effectively in a collaborative team setting
