Staff Assistant, Continuing Education & Community Engagement
The Staff Assistant reports to the Associate Vice President of Continuing Education (CE) and will work closely with divisional staff on special projects (e.g., Education and Training Fund (ETF)). The Staff Assistant will work to ensure successful program implementation, including effective student and faculty recruitment and support, as well as completion of program administrative tasks. The Staff Assistant will also assist with other CE programming and projects as needed.
Essential Functions:
Assist divisional leadership, including the Associate Vice President of Continuing Education, in executing operational functions and managing special projects by coordinating timelines, tracking progress, and ensuring alignment with institutional goals.
Assist with budget tracking and reconciliation, processing invoices, managing purchasing orders, ordering supplies and course materials such as textbooks and other related items.
Contribute to the preparation, proofreading, and editing of marketing materials, such as brochures, flyers, and website content, for various programs.
Provide program information and support to students across multiple Continuing Education offerings.
Manage and maintain student records?both electronic and physical?ensuring accuracy in documentation related to eligibility, enrollment, and course completion.
Support the program's intake process, collaborating with divisional leadership to coordinate student onboarding each term.
Assist in the verification of course completion and the preparation of students' completion certificates.
Handle inquiries through various communication channels, including phone, email, and in-person interactions.
Perform other duties as assigned to support divisional goals.

Job Requirements:
Bachelor's degree in Education, Counseling, Psychology, or other related field; with one (1) year experience and/or training involving area of assignment, which may include college registration, academic advisement, career development, career training, program/project management, event planning, administrative work in an academic environment; or an equivalent combination of education, training, and experience.
Proficiency with Microsoft Word, Excel, Outlook, and Google Suites
Strong oral and written communication skills

Excellent organizational and planning skills
Demonstrated ability to work independently
Demonstrated attention to details
Interaction:
The Staff Assistant must be able to work with individuals and groups both on and off campus including prospective and current students, academic leaders, community-based social service providers, business leaders, and civic organizations.
Preferred:
Experience in a higher education or workforce development environment with an understanding of barriers to higher education and/or training faced by some students
Experience with short-term workforce development programs, including recruitment, assessment, support, and data collection
Additional Information: Position Status: Non-unit Professional, full-time state funded with benefits
Hours: 37.5 per week
Salary: $56,761.00 - $70,952.00 (annually), commensurate with education and experience
Worksite: Assignments will include all Massasoit sites and additional locations as necessary.
