Position Purpose:
Manage human resources overseeing administration of hiring, termination, employee records, legal compliance, benefits administration and employee relations. Responsibilities include the development and administration of employee policies.
Under the general, technical, and administrative supervision of the Chief Financial Officer, and in accordance with established policies and procedures, the Human Resources Coordinator’s responsibilities include, but are not limited to:
Benefits Administration:
Successfully manage and coordinate benefit programs (Health, Dental, Section 125, 403(b) Retirement Plan, AFLAC, STD, LTD, Life/AD&D and COBRA) for employees, including: employee communication; problem solving; and claims resolution in conjunction with our broker.
Stay abreast of policy developments, national, state and local labor law, and best practices in independent schools.
Ensure all plans under broker supervision comply with applicable laws and statutes (HIPPA, ERISA and IRS guidelines).
Research and implement new supplemental benefit programs as needed
Assist in development of insurance budget and negotiate contracts on an annual basis with Chief Financial Officer.
Ensure chosen broker prepares/edits Summary Plan Descriptions as needed for plan changes and legal compliance.
Manage annual open enrollment for employee benefits.
Manages and reviews monthly benefit reconciliation to compare against vendor invoices and actual payroll data. Ensures that premium payments are accurate and timely; audits participant eligibility to ensure invoicing accuracy.
Communicates and works with the payroll staff to ensure accurate and timely benefit tracking.
Employee Relations:
Recommend new and updated HR policies to the CFO, maintain and update Employee Handbook on an annual basis in collaboration with legal counsel.
Issue letters of employment and compensation adjustment letters to new and returning staff, faculty, and administrators.
Develop/edit/update job descriptions for all employees. Complete periodic job description audit and reclassified employees as appropriate under the Fair Labor Standards Act.
Ensure compliance with federal and state statutes/laws such as FMLA, ADA, Sexual Harassment, OSHA, Worker’s Compensation, Title VII, and ERISA.
Counsel employees regarding disciplinary problems and provide mediation when necessary.
Manage employee separation process for both voluntary/involuntary terminations. Coordinate and conduct exit interviews to determine reasons behind separation.
Manage recruitment lifecycle, including: performing screening and background checks; coordinating candidate pre-interviews; visits; and conducting interviews.
Partner with the administrative team to communicate HR-related information for new hire orientation.
Able to present benefit education and communication pieces to share in person, via email, or webinar by using available resources or vendor contacts.
Serve as lead point-person for onboarding new hires.
Work with the CFO to assist in the development and maintenance of Faculty Salary/Compensation Scale.
Provide training for department heads and team leaders on various HR topics including interviewing skills, performance reviews and employee coaching.
Ensure required employee trainings are conducted (i.e Sexual Harassment Prevention, Child Welfare Protection, et al.)
Work with CFO to develop feasible employee evaluation process.
Consults with legal counsel as appropriate, and/or as directed by the CFO on personnel matters.
Manage Worker’s Compensation program (file claims, follow-up, etc.)
Other duties as assigned.
Requirements:
At least 3 years’ experience in related field.
IT skills: general digital literacy, intermediate to advanced MS Office, database skills, web applications including Google Docs, Zoom, etc. as appropriate to job duties.
BS Degree in HR or related field.
PHR or associated certification in HR preferred.
Physical Requirements:
Primarily an office environment, ability to sit at a computer and keyboard for substantial periods.
Mobility sufficient to move about the campus, to include climbing stairs.
Sight and hearing adequate to perform the duties of the job, ability to communicate clearly.
Ability to lift and carry up to 20 pounds on a frequent basis.
