Alumni Engagement Coordinator -- Gies College of Business Gies Advancement
Job Summary Coordinate efforts, plan events, and provide support related to the alumni engagement functions of the advancement team including volunteer engagement, alumni/donor communication list pulls, and other alumni engagement functions. Duties & Responsibilities
Volunteer Engagement Coordination - Work with major gift officers and other advancement staff to identify alumni volunteers. - Work with college departments and other stakeholders to secure and create opportunities for alumni to volunteer, contributing to the mission, goals, and strategic priorities of the college. - Maintain guidelines, where appropriate, that are consistent with Gies prospect management guidelines for volunteer roles and activities such as advocacy and solicitation. - Facilitate opportunities for volunteers to interact with the College that align with the strategic goals and priorities of the College. - Ensure volunteer activity is captured in the Advancement CRM and other related systems.
Communications Support - Coordinate the process for mass-distributed email and mailing requests communication between the College and the University of Illinois Foundation. - Review, edit and submit approved list request to University of Illinois Foundation - Manage email correspondence between UIF and list requestor for effort specs, preliminary counts, and final output data - Download and edit lists for alumni mailings. - Maintain tracking records of the ongoing list of efforts.
Experiential Engagement Coordination - Coordinate activities related to the planning and execution of alumni and development events and opportunities as assigned. Activities include, but are not limited to regional events and annual signature events. - Support and coordinate programming for alumni advocates. - Plan and execute small engagement events. Identify and secure event locations, identify audience and initiate list request, secure catering and other logistical needs for execute engagement event. - Serve as a resource regarding programming for alumni advocates and alumni board management, where applicable. - Maintain engagement records and data in the Advancement CRM.
Other Duties - Monitor and triage the Business Alumni Inbox. This includes prioritizing requests, forwarding request to the correct team/team member, and using judgement to determine when requests/emails should be escalated to leadership. - Serve as backup support for all alumni engagement events. - Other duties as assigned.
Specialty Factors
Bachelor's degree.
A total of one (1) year (12 months) in education, training and/or work experience in higher education, advancement, non-profit, or related sector.
Preferred Qualifications
2 years of full-time professional experience in higher ed, advancement, alumni engagement, non-profit or related sector. Experience working with a variety of populations. Experience with project management. Bachelor's degree in business administration, management, communications, or related field.

Appointment Information
This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the search close date. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. The budgeted salary range for the position is $52,000 to $55,000. This position is eligible for a remote or hybrid work schedule. Sponsorship for work authorization is not available for this position.
