The Institutional Advancement department at the College of Saint Benedict invites applications for a full-time (1.0 FTE), benefit eligible position of Gift Management and Major Gifts Coordinator.
As a member of the Institutional Advancement (IA) team, the Gift Management and Major Gifts Coordinator is responsible for supporting the mission of the college by assisting the executive director of major and planned gifts (ED) in the performance of overall responsibilities, providing essential support to the work of the major and planned giving team.
The Gift Management and Major Gifts Coordinator has complete responsibility for accurately recording and accounting for all charitable gifts received by IA and for all functions pertaining to the processing of those gifts. This position demands complete accuracy in data entry and management. The Gift Management and Major Gifts Coordinator is responsible for providing accurate information in a timely manner and is cognizant of the day-to-day flow of information into and out of the Advancement Services Office. In addition, this position provides critically important support to the Major and Planned Gifts Team (MG Team), ensuring that deadlines are met, and that planned giving marketing and administration is running smoothly and efficiently. The Gift Management and Major Gifts Coordinator plays an important role in assisting the gift officers with portfolio management and donor engagement.

Process gifts and pledges (checks, cash, credit cards, securities, bank drafts, gifts-in-kind, matching gifts, payroll deductions) from alumnae, friends, corporations, and foundations.
Update and run reports, maintain donor and gift records, and accurately record gifts according to IRS guidelines, internal policies, and the college's gift acceptance policy.
Provide administrative support for the Major Gifts Team, including scheduling, travel arrangements, coordinating fundraising plans, drafting/editing correspondence and reports, receiving visitors, and preparing materials for meetings and donor visits.
Manage and coordinate Memorandum of Agreements, including tracking drafts, routing for review, preparing final copies, obtaining Presidential signature, and distributing to partners and donors.
Oversee the college?s planned giving administration, including Legacy Society membership, stewardship, compliance with regulations, and implementing marketing strategies for planned gifts.
Coordinate relationships with third-party consultants, including maintaining CRM updates, scheduling, meeting logistics, payment/invoicing, and marketing material updates.
Develop and support implementation strategies for soliciting major gifts, including determining donor relationships, recommending gift purposes and levels, and supporting solicitation efforts.
Assist the Donor Relations Officer in implementing personalized and large-scale stewardship and cultivation strategies, including events, to strengthen long-term relationships with high-level prospects and donors.
Provide backup support in the absence of the Executive Assistant for Institutional Advancement.
Manage projects and administrative systems and occasionally delegate to student workers as needed to collaborate with others and work in a team environment.

High school diploma or GED with post-secondary education; college degree preferred.
Office experience required; experience with senior-level or executive management preferred.
Proficient in Microsoft Office suite; experience with fundraising databases or customer relationship management systems preferred.
Highly detail-oriented with a critical degree of accuracy in data entry and analysis; bookkeeping knowledge and experience preferred.
Strong project management and planning skills, with the ability to effectively manage multiple changing priorities and take the initiative to ensure success.
Demonstrated ability to work collaboratively in a complex environment, building positive relationships with internal and external clientele, and supporting team goals.
High level of integrity with the ability to maintain confidential information with tact and discretion.
Excellent communication and interpersonal relations skills, including outstanding public relations skills in person and over the phone to project a positive image of the college and a commitment to providing excellent hospitality.
Ability and willingness to represent the College including evening and weekend events, as required.
PHYSICAL REQUIREMENTS:
Significant keyboard and computer use, prolong sitting, and occasional standing.
Management of storage area, including but not limited to lifting boxes and items up to 20 lbs.
Ability to move around department and across campus.
TRAVEL REQUIREMENTS:
Ability and willingness to travel locally including weekend events, as required.
Occasional travel to the twin cities and/or nationally could occur. A valid driver?s license preferred.
