Responsibilities
The Administrative Coordinator is a critical support position that ensures coordination of all activities related to the Executive Director position and manages the interface of multiple roles and expanded responsibilities for oversight of the Market Analytics office. This position requires an in-depth understanding of healthcare activities and the applicable business theory for professional-level management. The incumbent will work very closely with the Executive Director to ensure communications and workflow consistently meet the needs of the leadership and multiple constituent groups, including faculty, staff, and Hospital Administration.
This role will provide high-level administrative and analytical support to the Executive Director. The incumbent is expected to utilize initiative, judgment, and discretion in researching, analyzing, and compiling necessary background information to assist management (Executive Director and other Strategy & Growth Leadership) in responding to complex issues. As principal direct support to the Executive Director, the incumbent responds through verbal and/or written communication to a wide variety of inquiries coming from various sources. The incumbent is expected to interact with faculty, staff, project managers, consultants, and executives of the Health System and external organizations.
This position works across the UCDH organization with diverse levels of staff including, but not limited to, inpatient, ambulatory, and digital health staff, to support strategic initiatives for Market Analytics & Strategic Intelligence, and coordinates efforts with a variety of external and internal contacts on business development and planning programs. The coordinator uses skills to research, develop, and provide solutions to a wide variety of challenges, and develops reports, as needed, for market analytics strategic initiatives.
The incumbent will manage, plan and administer a range of administrative operations in the department. Administrative operations include budgetary financial management, human resources, and vendor management /contract processing. Acts as a project manager for special projects, at the request of the executives and/or their direct reports, which may include planning and coordinating multiple presentations and disseminating information.
Required Qualifications
Bachelor's degree in related area and / or equivalent experience / training.
Three or more years of experience providing high-level executive administrative and analytical support including management of multiple, complex electronic calendars and scheduling and coordinating large-scale conferences/meetings and special events or related work experience.
Current knowledge of/and demonstrated skills to use Microsoft Outlook, MS Exchange, Word, Excel, PowerPoint, and the Internet.
Ability to maintain discretion and extreme confidentiality with tact and discretion as a representative of the Executive Director, Market Analytics & Strategic Intelligence.
Strong skills in short-term planning, analysis, problem-solving, and customer service.
Demonstrated analytical experience and investigative skills to elicit information with tact and discretion to clarify inquiries and requests.
Advanced technical skills using business software for word processing, email, spreadsheets, presentations, and calendaring.
Excellent oral communication, customer service, and interpersonal skills to communicate clearly, effectively, and professionally in person, by email, and by phone.
Organizational skills to prioritize and manage multiple simultaneous assignments.
Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
Possess excellent interpersonal and communication skills.
Ability to work effectively in an environment involving rapidly changing priorities while completing numerous tasks and/or special projects simultaneously and maintain a professional, friendly, and cooperative composure.
Time management skills to effectively prioritize work assignments, tasks, and/or special projects, work independently and ensure completion of same in an accurate and professional manner.
Ability to compose, edit, and proofread documents with excellent working knowledge of English grammar, hospital-related terminology, proper punctuation, and spelling.
Thorough knowledge of contract processing from start to finish.
Preferred Qualifications
Prior UCDH experience in a similar role.
Recent experience providing high-level executive administrative and analytical support including management of multiple, complex electronic calendars and scheduling and coordinating large-scale conferences/meetings and special events or related work experience.
Knowledge of UC Systems to include Ecotime, PeopleAdmin, UC Path, Service-Now, Aggie Expense, and Lawson.
Thorough knowledge of university rules and regulations, processes, protocols, and procedures for budget, accounting, fund management, contracts, purchasing, and personnel management.
Knowledge of UCD/UCDMC Policy and Procedure manuals and Personnel Policies for Staff Members (PPSM) and Collective Bargaining Agreements.
Special Requirements
May be required to travel to community affiliate sites.
