Manager, Maintenance and Trades
Job Summary:
Reporting to the Director of Maintenance and Trades, the Manager of Maintenance & Trades is responsible for assigning and managing oversight of repair, light renovation, and preventive maintenance projects related to the daily functioning of Barnard College's physical campus consisting of 1.3 million square feet of space. This position also participates in strategic planning for physical plant maintenance and upgrades, contributes to the execution of sustainability-related projects, and ensures full regulatory compliance. Oversees the management and direction of supervisors, building superintendents, and unionized trade workers. Shops include electrical, mechanical, plumbing, HVAC, locksmith, painting, masonry, carpentry, and general service mechanics.
Ensures that the department is proactively customer-service oriented and that all interactions with clients reflect a high degree of professionalism. The position requires strategic planning for physical plant maintenance and upkeep with a focus on the efficient use of resources. Performs departmental administrative and management functions including personnel supervision, work order processing and assignment, condition assessments, facilities inspections, and staff coordination for all internal work assignments.
Job Description:
Duties & Responsibilities:
- Oversee supervision of the daily activities related to all of the mechanical and building trade functions of Barnard College, including skilled electrical, plumbing, HVAC, mechanical, locksmith, painting, masonry, carpentry, and general service mechanics. Manage two supervisors (MEP and Trades) to whom the trades' staff report. This position also provides work direction to contract employees such as plumbers, electricians, fork truck mechanics, fire alarm vendors, elevator maintenance vendors, and others. Complete weekly payroll and track overtime. Ensure adequate coverage for shifts. Ensure that work orders are efficiently and accurately assigned, executed, assessed, and closed out. Use all available technical tools and data to proactively and continuously improve the work-order process. Work closely with all Facilities' personnel responsible for client service to deliver seamless, efficient responses and repairs. Work in close association with the various departments of the College and community to identify and facilitate Facilities' service delivery.
- Closely monitor work order system requests. Determine whether problems can be resolved in-house, set priorities, assign employees to specific jobs on a daily basis, and troubleshoot workmanship problems; generally, supervise activities to ensure that the work meets or exceeds all established quality requirements; inspect work for completeness; give feedback and technical advice to employees; visit the various work sites daily to ensure employees are productively engaged in the proper operation of equipment and building systems. Ensure that requestors are informed of the status of their work and maintenance request.
- Administer employee policies, practices, procedures and work rules appropriate for the department; monitor individual performance and take corrective action including discipline, as needed; ensure that assigned personnel have appropriate training (including work safety), work instruction, and tools to successfully do their job. Screen prospective employees and make recommendations for employment or termination of employees within their area of responsibility.
- Develop and manage various service contracts (HVAC, Electrical, Water Treatment, etc.) and participate in the decision making around expanding, changing and renegotiating services contracts as business needs dictate. Make recommendations to the Director of Maintenance and Trades in the development and implementation of operational policies and procedures. Maintain and update maintenance database. Maintain up-to-date records for all local, state, federal and insurance inspections, including FDNY inspections.
- Inspect, inventory, and assess physical conditions of all on- and off- campus buildings and mechanical systems. Conduct daily campus and building inspections. Identify, recommend, and schedule any necessary repairs, replacement, and/or small remodeling projects in conjunction with the Capital Projects department. Prepare quality assurance/quality control and improvement plans for the department and maintain preventative maintenance schedules for HVAC and other equipment. Coordinate Universal Waste disposal on a semi-annual basis or as needed.
- Contribute to the development and regular updates to a preventive maintenance program for all mechanical equipment. Organize manufacturer's suggested systems and parts checks on all facility equipment into an ongoing preventive maintenance schedule. Work to coordinate internal and external preventive maintenance resources to provide efficient scheduling, targeted expertise, and cost-effective initiatives. Assist the Director of Maintenance and Trades in the preparation of the annual capital repair and replacement and budget and the negotiation of annual service agreements.
- Prepare and anticipate cost, labor, supplies/equipment, and time analysis for repairs, replacement, and/or small remodeling projects. Determine the need for outside contractors and assist in preparation of bid specifications and the selection of contractors. Serve as liaison with contractors and review work of contractors for conformity to standards.
- Inspect ongoing work for conformance to codes, standards, and other requirements. Routinely check to assure employees are practicing prescribed safety procedures and regulations in the use of materials, equipment, and tools. Develop an annual safety training program for all Trades personnel and attend required training sessions to improve work methods, knowledge of equipment, supplies, and safety methods.
- Control shops' inventories and issue and control specialized tools. Make recommendations for purchase of specialized items, tools, and equipment. Submit requests and requisitions for supplies and equipment.
- Perform other related duties as assigned. Perform miscellaneous tasks as necessary for the demonstrated, successful implementation of assigned duties. Perform administrative tasks as necessary for recordkeeping management. Perform data analysis as necessary or requested. Consider essential personnel and respond to emergencies as necessary. Represent Barnard College as necessary, and participate in training activities to maintain professional knowledge of evolving regulatory requirements. Understand and apply all departmental and college-wide policies and procedures.

Ability to maintain records; write reports as required.
Ability to coordinate the work activity of building superintendents, maintenance, and trades staff and report daily back to the Director of Maintenance and Trades.
Ability to communicate clearly and concisely, both orally and in writing.
Must be able to remain calm and stay focused while carrying out the functions of the position during stressful conditions (Commencement, Alumni Weekend, Move-Out, Move-In etc.) and be able to multitask successfully.
Problem-solving skills and sound judgment; ability to understand and apply the College's and Department's policies and procedures;
Considerable knowledge and skill in the methods, processes, equipment and materials used in the repair, operation and maintenance of buildings, buildings utilities, and building mechanical systems.
Experience evaluating and implementing sustainability and environmental initiatives.
An ability to foster a culture of client service with training, protocols, and strong management skills.
Demonstrated ability to establish and maintain effective working relationships with diverse constituencies; ability to effectively communicate orally, in writing, and electronically.
Must be able to work effectively in a service-oriented environment subject to frequently changing priorities which may require re-prioritization of daily operations.
Computer literacy and a working knowledge with architectural plans and specifications are essential; should be knowledgeable in local building code and regulatory requirements.
Knowledge of and ability to work with blueprints, architectural plans and specifications are essential.
Knowledge of financial management and budgetary techniques as well as knowledge of management principles and practices, proven problem-solving, leadership and management skills, excellent organizational and analytical skills.
The position may interact directly with other Facilities staff and community members including groundskeepers, custodians, community safety officers, students, staff, and faculty members. The ability to maintain a pleasant working relationship with others that is supportive of the Facilities mission is essential.
Required Qualifications:
Baccalaureate degree or equivalent experience relating to the mechanical/structural trades and/or building construction within an educational or similar institution; a working knowledge of at least three trades is required.
Minimum five years of progressively complex facilities management experience which must include the supervision of facilities operations and repair and maintenance in the areas of mechanical, HVAC, electrical, and plumbing systems as well as masonry, paint, locksmith, carpentry, and general service mechanics.
Must be willing and able to work occasional evenings and weekends, as required.
Preferred Qualifications:
Experience managing union-represented staff strongly preferred.
Outstanding project management skills and specialized knowledge of building maintenance and/or construction along with an understanding of plumbing, electrical, HVAC, chemistry, and inspection, testing and maintenance procedures.
Physical Requirements:
Able to kneel, crawl, bend, stoop, push, pull, lift, and carry objects up to 50 lbs.
Salary Range: 95,000 - 100,000 annually
