The Fiduciary Services Coordinator will enhance the client experience by servicing clients and providing operational and administrative support to the Fiduciary Services Team. This role will report to the Director of Fiduciary Services.
Primary Responsibilities:
Client Support
Arrange client meetings, compile and complete presentations, onboard new clients by arranging client meetings and annual reviews
Field phone calls from clients
Assist with account opening and closing procedures
Collect tax information for clients' annual returns and assist Advisors with coordination of tax year-end processing.
Monitor daily financial reports and cash positions in clients' portfolios to verify accounts are not overdrawn and cash balance is adequate to support ongoing cash needs
Maintain the integrity of client files; verify that proper documentation is appropriately filed in accordance with policy and procedure
Advisory Support
Review and distribute daily and monthly reports to team members, including fee reviews
Provide support for client communications including birthday, holiday, and special event notifications
Research, balance, and prepare periodic court reports for Estates and Guardianships
Assist with the completion and coordination of bill payment activity
Through direct support of the Director of Fiduciary Services, the Coordinator may also assist in developing new relationships through prospecting and building community networks
Organize New Account Acceptance Committee documentation, prepare minutes and provide required signed documentation to advisors for account opening
Maintain and update Fiduciary Account Review spreadsheet
Administrative Support
Assist in new prospect research, planning relationship reviews, and event coordination
Assist Investment Services, and other Wealth team members, with administrative duties; coordinate mail merge for department-wide mailings
Coordinate monthly Lunch and Learn Continuing Education (CE) calls across all branches
Coordinate Discretionary Distributions Committee meetings and prepare minutes; prepare minutes for all Other Discretionary Action Matters (ODAM) decisions
WHAT YOU'LL BRING
Knowledge of:

Ability to:
Attend appropriate training and informational programs to enhance understanding of the industry as part of the on-going job responsibilities
Coordinate department and client events in conjunction with the Sales & Strategy and Brand Strategies teams
Coordinate strategic planning initiatives and business development opportunities for the Busey organization
EDUCATION & TRAINING
Bachelor's degree in Business or Finance; two or more years of related experience in the financial services industry with high net-worth clients preferred.
Continued education to achieve CFP, CFA, CTFA, or CPA designation within two years of hire; FINRA license may be required.
