Business Operations Coordinator
We are looking for a full-time Business Operations Coordinator to join our team! This position will work closely with project/center directors and managers and be responsible for providing a wide variety of accurate and timely fiscal, operational, grant, and business support to MSU’s STEMM-Up program (75%) and STRIDE Center (25%). This position will be responsible for setting up and reconciling accounts, managing finance accounts, performing operational functions, and other related duties.
The STEMM-Up program helps people with disabilities from underrepresented/marginalized communities find and advance in STEMM (science, technology engineering, mathematics, and medicine) careers through training, coaching, job shadowing, and internships.
The STRIDE Center supports and trains underserved individuals with disabilities, their families, and community stakeholders through resources, training, research, and engagement.
Provides post- award administration of grants and contracts; Monitors and coordinates project ongoing financials and budgets for accuracy; Facilitates the administration, monitoring, and financial management of moderately complex research projects in accordance with applicable Federal, State, local, and university policies, procedures, and regulations; Collects information required in audits.
Grant support by working with project managers to organize events for project/center; Coordinating background checks for compliance (OIG, HDFS, Central Registry, OTIS, Youth Programs, iChat, SAM.gov); Credentialing all programmatic staff, tracking and maintaining all documentation necessary for contract and service compliance, and maintaining up-to-date training and certifications.
Manages multiple financial accounts for general fund and external grant accounts; Audits financials, billing and data for accuracy; Setting up and reconciling financial records for accounts receivable and payable, purchase orders, p-card reconciliation, travel reimbursements, disbursement vouchers, distribution of income and expense, procurement needs, and PSCs; Prepares and reviews general journal accounting entries and reconciles STEMM-Up and STRIDE Center records to University account ledgers.
Serves as liaison between faculty/staff in communicating policies and procedure; Audit personnel forms and files; Assist with departmental business tasks.
Other departmental duties as assigned.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business administration, Finance, or a research-related field; one to three years of related and progressively more responsible or expansive work experience in research administration including the area of pre- or post-award processes, or related field such as regulatory administration; or an equivalent combination of education and experience. This job requires completion of Essentials of Research Administration (MSU Certificate) or equivalent within one year of hire.
Strong understanding of accounting principles and procedures. Experience with financial policy, processes and accounting. Experience with HR administration and compliance. Experience with grant management. Excellent organizational and time management skills. Ability to work independently and as part of a team
Experience with financial analysis and reporting tools. Experience with university budgeting and procurement. Experience with university human resources polices and procedures.
