POSITION SUMMARY: The Event Coordinator reports to the Associate Director, Conference and Event Planning and works with an integrated team committed to delivering high-quality events, conferences, and programming to the College’s internal and external audiences. The coordinator works collaboratively with colleagues in the planning and production of events, conferences and other public programming of various kinds, themes, purposes, sizes, and locations (some of which may take place off-campus), and maintains standards of excellence for public programs, conferences and events organized by the College.
ESSENTIAL FUNCTIONS: Reporting directly to the Associate Director, Conference and Event Planning, the Event Coordinator performs the following essential duties and responsibilities. Administrative support: The Coordinator provides administrative support for the College’s events, programs, and activities. Event coordination: The Coordinator assists the Associate Director in the implementation of events, programs, conferences, and other activities while upholding Pomona's standards of excellence. QUALIFICATIONS: Education/Licenses/Certificates: High School Diploma or GED is required, or equivalent combination of education and experience. Bachelor’s degree in business management or related area is preferred. A valid driver’s license is required or equivalent means of reliable transportation to off-site meetings and events.
Experience: A minimum of 2 years of experience in event management or combination of event planning and other administrative and public relations experience is required. Experience in hospitality management or at an academic institution is preferred.
REQUIRED KNOWLEDGE AND CRITICAL SKILLS: The Event Coordinator must possess the knowledge, skills, and abilities to be able to successfully perform the essential functions of the position or be able to demonstrate how the essential functions will be performed, with or without reasonable accommodation. Takes initiative to accomplish projects with little supervision. Possesses excellent project management skills and can adhere to tight deadlines. Works both independently and as a collaborative member of a team in support of the College’s strategic vision and annual goals with a high standard of integrity and ethics. Demonstrated effectiveness and clarity of verbal and written communication, including proofreading and editing. Must handle all activities and highly confidential information with patience, discretion, tact and a keen eye for detail. Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook), associated professional software and website content management. Demonstrated understanding of the use of technology in assessing and improving systems and processes to achieve annual goals and maintain confidentiality. Comfortable in an environment that relies on digital assets and data systems for completing daily tasks. Must have exceptional organizational, customer service and time management skills to complete work with accuracy and attention to detail in a fast-paced, dynamic environment. Demonstrates nimbleness and responsiveness to changing situations and project demands. Able to adapt to meet evolving needs. Able to safely operate College’s vehicles/golf carts for campus-related work. Able to lift and carry up to 25 lbs.
REQUIRED HOURS: REQUIRED HOURS: The regular hours for this full-time position are 8 a.m. to 5 p.m., Monday – Friday. Weekend and evening work hours will be required. Travel may be required. Regular hours may vary due to needs of the College or division. Must be able to work long hours with a flexible schedule.
ADDITIONAL POSITION DETAILS: Temporary 2-year Assignment / full-time / non-exempt. The hourly rate for this role is between $26.60 and $28.60 with a competitive benefits package. The specific factors that the College will consider when offering a salary to an individual will include, but not be limited to; education, training, relevant prior experience, and performance in prior roles.
