JOB SUMMARY
The Events and Outreach Coordinator will manage efforts on and off campus to foster a more inclusive climate through the development of new and continued programming for diverse audiences. The person in this role will plan and implement medium to moderately complex events involving participants and guests from multiple sources such as students, staff, faculty, alumni, scholars, community members, and potential donors. By collaborating with local and campus partners, the Events and Outreach Coordinator will help to build community, create more inclusive spaces, and establish a more welcoming climate for all.
APPOINTMENT INFORMATION
Budgeted Salary: Salary Range $80,300 - $93,400/annually Salary commensurate with skills, qualifications and experience. Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES
50% - Event Coordination
Plan and manage events involving participants and guests from multiple sources such as students, staff, faculty, alumni, scholars, community members, and potential donors.
Work collaboratively with and provide logistical support as needed for on- and off-campus groups, including but not limited to employee affinity groups, alumni networks, and student organizations.
Plan, organize, and coordinate with local and campus venues, event partners, and vendors.
Coordinate and lead events in virtual and hybrid modalities as well as in person.
Develop and plan events to raise awareness of holidays, observances, appreciation weeks, awareness months, and other occasions important to our diverse constituencies.
25% - Communication & Outreach
Create and maintain ODEI's e-newsletter and social media channels.
Maintain the ODEI web site, including adding or revising content and uploading digital media.
Share event details with relevant media outlets, campus stakeholders, and campus units.
Work with UC Communications as needed to develop a coordinated outreach strategy.
25% - Event Administration & Operations
Ensure smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen.
Develop and implement event budgets. Be fiscally responsible for event expenses.
Contribute to and participate in long-range unit planning, including connecting ODEI events to the campus wide strategic plan.
REQUIRED QUALIFICATIONS
Thorough experience and understanding in event planning concepts, principles and practices, including event design, organization and production for in-person, hybrid, and virtual events.
Excellent verbal communication skills with the ability to communicate with diverse populations including but not limited to faculty, staff, students, community members, and visitors.
Excellent written communication skills.
Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
Skill in effectively meeting budget and time constraints.
Ability to develop and produce an e-newsletter and website content for event promotion.
Ability to manage audience flow and implement emergency procedures.
Ability to develop accessible programming for audiences of all ability levels.
PREFERRED QUALIFICATIONS
Familiarity with Mailchimp, Constant Contact, WordPress, Google Workspace, Canva, Adobe, Photoshop, and other graphic/web design and photo editing software.
Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation.
Completion of high school, university, or professional development courses and/or professional experience with diverse constituencies, including but not limited to African/Black/Caribbean, American Indian/Indigenous, and religious minority communities.
Experience developing and maintaining social media channels.
Experience traveling or living abroad and/or familiarity with cultures outside the United States.
Working use of a language other than English.
Ability to incorporate universal design principles into programming and event implementation.
SPECIAL CONDITIONS OF EMPLOYMENT
Selected candidate will be required to pass a pre-employment criminal history background check.
Must possess a valid license to drive in the state of California.
Ability to work long periods of time at a computer with or without accommodation.
The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
This position requires the ability to report to campus to work in-person as operationally required, with reasonable notice as determined by your manager; travel expenses not covered.
Ability to work occasional evenings and weekends as directed.
Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
Ability to travel to multiple work locations on and off campus.
Ability to maintain appearance and conduct suitable for working in a professional setting.
