Responsible for back-end functioning and optimization of the website including seasonal features
Participates in coordination and development, with OFA Communications on improved site designs, infrastructure, integrations with social media, third-party event platforms and resources, including web forms
Manages web analytics
Maintains and develops scripts to import/export data between web platforms and databases
Recommends upgrades and improvements and trains staff who manage and design content
Advises on up-to-date best practices and optimal specifications for social media platforms
Manages special projects including creating space and reservation forms and online databases that detail arts spaces, services, and programs
Supports live streaming, video creation and additional online content
Maintains accessibility standards for all online content and advises on digital accessibility
Maintains archival storage
Data Base and Intranet Management 25%
Manages access and permissions (web platforms, Sharepoint, FileMaker, social media)
Coordinates FileMaker database vendor support services
Advising on best practices and overseeing database structure, changes, new configurations, and the installation of upgrades
Maintains Harvard' standards for archiving digital files
Maintains SharePoint infrastructure
Provides advocacy and guidance with customed shared registration systems
IT Security 20%
Supports PCI Compliance protocols and electronic merchant accounts for programs, enforcing PCI security standards and executes annual Compliance Certification.
Develops strategies with Ceramics Program for Touch Net on-line sales
Collaborates with staff and partners including service providers and vendors to manage information access
Maintains and ensures compliance with HUIT Information Security Standards with the Harvard Enterprise Information Security Policy for the OFA and follow HU IT technical standards, policies, and Code of Conduct for data security and confidentiality
Analyzes security risks and implement solutions.
IT Infrastructure and Operations 20%
Serves as primary liaison with HUIT including:
Coordinates computer replacement program
Onboards new hires for computers, software, and other devices
Coordinates data jack/VOIP/Wireless Access Point in office, classroom, and theatre venues
Maintains and support IT infrastructure, ensuring adherence to standards and service-level objectives
Works with the Director for Administration on IT infrastructure and procedures including:
Formulates and deploy long-term plans for acquiring and enabling efficient information processing and communication technologies to support all IT and programming needs
Oversees IT budget securing and negotiating license renewals
Provides guidance and assistance with non-Harvard issued devices used by some programs
Works closely with third party applications and Platforms including: OpenScholar, WordPress, Mailchimp, FileMaker, Sharepoint, the Localist, Zoom, AudienceView, Google Analytics, Adobe CC, YouTube (livestreaming), Curator.io and MS Office

Basic Qualifications
Minimum of two years' post-secondary education or relevant work experience

Knowledge of information technology applications, processes, software and equipment
Demonstrated team performance skills, service mindset approach, and the ability to act as a trusted advisor
Must be a skilled generalist is comfortable working in a team-oriented work environment that includes students and arts specialists of varying fields.
Proven project management skills with the ability to lead and communicate effectively
Programming in JavaScript, Python and Wordpress,
Experience developing for mobile devices.
Knowledge of web analytics
Customer service experience in IT environment. Must be able to communicate effectively with non-technical users.
Knowledge of Harvard preferred.
Willingness to participate in university-wide committees/groups to further the OFA's mission.
Ability to work independently, as well as collaboratively, with capacity to anticipate and solve a range of hardware/software problems.

5 years of related experience providing customer service in a technological environment and systems support in Mac and PC environments
Demonstrated experience with website management, database management and programming
Experience in managing and maintaining third-party application/platform integrations and multimedia applications to carry out social media and other outreach
Extensive experience in IT service management
Advanced knowledge of ServiceNow administration and experience developing ServiceNow application
Experience or strong interest in the arts
Certificates and Licenses
Completion of Harvard IT Academy specified foundational courses (or external equivalent) preferred
Physical Requirements
Must be able to individually lift and move computer equipment up to 50 pounds, and periodically up to 100 pounds with the assistance of others

The Manager of Information and Outreach Technology reports to the Director of Administration and provides a wide range of technical oversight for the Office for the Arts (OFA). The position works closely with the communications team and makes technical and operational recommendations to OFA Senior Management. The position evaluates priorities across department units and takes initiative on IT improvements and strategies; tracks IT industry changes and anticipates web and technology trends. The main responsibilities are web site oversight, data security analysis and compliance, support of best practices and third-party services integrations, database, technology management and purchasing, and project management for IT initiatives. Confers with and acts as a liaison to Harvard University IT (HUIT). Represents OFA on committees. The position assists Senior OFA Management in diversity, equity, inclusion and belonging initiatives, contributes to an organizational culture that demonstrates these values among staff, students, and the community, and integrates them into all work we do.
