Position Description:
The Operations Coordinator is a central position in the College of Science & Mathematics and interacts with units both within and beyond the college. Given this unique point of view, the Operations Coordinator will use forward-thinking and problem solving skills to improve and streamline college and office processes as well as manage complex operational tasks. This position requires strong task switching and management skills as it is responsible for coordinating complex and diverse tasks across several units of the college. The Operations Coordinator must have strong critical thinking, project management, analytical, and communication skills. The ideal candidate will be highly motivated, organized, self-directed, and a strong team player.

Position Duties and Responsibilities:
Independently develop and implement strategies to streamline and optimize Dean’s Office processes, communications, and systems
Effectively manage complex processes including faculty hiring, contracts, load, and compensation
Oversee college-wide travel requests and associated budget
Assist the Assistant Director of Finance & Budget in tracking payments and reimbursements
Supervise student office workers and manage associated budget
Maintain updated college policies across the college by developing resources and trainings for department and college staff and managers
Serve as a college liaison to other units at the university including the Provost’s Office, external stakeholders, and at external events as needed
Participate in high priority and office meetings, ensuring accurate reports are developed and disseminated to appropriate stakeholders
Effectively collect, route, or disseminate correspondence to optimize Dean’s Office communication
Develop sensitive and/or complex reports including those of an academic and/or business nature.
Manage and analyze college-wide student satisfaction assessments
Manage and optimize administrative workflows and tasks in the office
Strategically manage calendar priorities for the CSM’s Dean’s office and the College
Implement policies, analyze departmental data, and perform other duties in the event that a departmental admin is unable to temporarily perform their job tasks
Other duties as assigned
The position may require infrequent work outside the normal business hours with advance notice
Requirements:
Graduation from accredited college or university with a Bachelor's degree, Masters preferred
Two (2) years of professional, position-related experience, preferably in higher education
Preferred Qualifications:
Knowledge of modern office routines, procedures, and practices, and their application to situations specific to academic units
Knowledge of standard software platforms including Microsoft Office Suite, Adobe Acrobat, databases, Banner, Tableau, and Cognos
Ability to communicate and interact in a cordial, professional manner with faculty, staff, students, and members of the public
Ability to independently manage multiple, complex tasks, anticipate needs, work in a fast-paced environment, and be adaptable to change
Ability to read and interpret policies, procedures, and academic reports
Ability to create correspondence and reports, often of a complex and difficult nature, rapidly and accurately
Ability to handle confidential and sensitive information in a secure and discreet manner
Salary:
Range P21 (Step 1 $60,062)
