Job Description:
The Procurement Coordinator is responsible for supporting the day-to-day operations of purchasing, receiving, and warehouse inventory management. Primary responsibilities include adding new vendors to the procurement system, receiving requisitions and creating purchase orders, verifying receipt of goods and services, and coordinating delivery to campus offices.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job duties specific to this position:
Communicates with the College community and vendors regarding the College's procurement policies and procedures.
Leads the input and maintenance of vendor record file, including determining proper 1099 tax treatment. Understands and adheres to IRS regulations and college policies.
Performs TIN matching checks
Initiates the process of the foreign national questionnaire and document compilation through the College's foreign national tax software for all foreign vendors.
Work with College departments to utilize preferred, on-contract vendors.
Ensure that completed W-9's or W-8's are obtained for all non-employee compensation payments.
Support the research related to quotes, RFP's and bid processes for procurement.
Create purchase orders.
May be responsible for the hiring, training and supervision of procurement interns.
Assist with central receiving for orders placed, match orders received with purchase order, and deliver goods to departments.
Monitors and tracks Warehouse inventory.
Assist in resolving problems related to discrepancies in shipping and receiving.
Collaborate extensively with accounts payable, and ensures all vendor information is entered timely and accurately. Asist with Onbase document manage system.
Leads administration of the corporate credit card program, including adding/removing new card users, assigning supervisors to approve transactions, and providing general user support.
Manages the Purchasing and Purchase Card e-mails.
Provide support to AVP, Controller, Associate Controllers and Directors for fiscal year-end close and audit.
Detect and make supervisor aware of any questionable purchase not made in line with College policies.
Assist with implementation of new AP/Purchasing systems and processes.

4+ years or relevant work experience required, Associate's Degree preferred.
1 year of work experience in a detail orientated environment.
Valid US Driver's License required and ability to lift up to 100 lbs.
Proficiency in the use of computerized general ledger/payroll or ERP systems and Microsoft Office programs, notably Excel and Word. Experience with Ellucian Colleague, Workday, Onbase, Adobe PDF, and/or Google suite apps is a plus.
