Poly Prep seeks applicants for the position of AcademicData Manager. The Academic Data Manager will be a results-driven leader using student information systems and data collection skills to organize and maintain school information systems. The Academic Data Manager will be the point person for creating academic schedules as well as collecting and entering key student and family information. Working alongside the Technology Department, this position will serve a critical role in ensuring accurate and representative data for all students throughout their academic career, as well as in designing means to present necessary information for key decision makers.
PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES
Manages scheduling, to ensure that adequate space is available for classes, programmatic meetings, assemblies, and other academic activities.
Manage and audit academic records, credit requirements, and GPAs of students.
Assist with advising School Leadership regarding academic records, registration, grades, enrollment eligibility, academic probation, and graduation.
Provides support to the Division Principals for recommending and providing metrics around key policy and curriculum decisions that impact student grades.
Collection, classification, management, evaluation, security, integrity, certification, and dissemination of student records in accordance with FERPA standards, professional practices, and technology policies and procedures.
Maintain knowledge of the registration policies and processes in line with changes to academic and enrollment policies.
Identify best practices related to the areas of academic records and registration.
Maintain educational data within systems including: the setup of new programs, the setup/updates of course requests, incompletes, and missing grades.
In conjunction with the technology team, safeguards academic information, focusing on data integrity, security, information flow, maintenance, developments, and enhancements as well as leverage emerging technology.
Perform school Registrar related functions such as developing procedures and completing tasks with regard to school & student schedules, special schedules for unique academic days or experiences, class rosters and grades, as well as any changes to these within the school year.
Generate reports that provide information to administration, faculty, students, and parents as needed.
Collect and import data provided by key Data Leadership Team members to assist in developing student profile reports and dashboards.
Manage and maintain employee and student facing portals.
Integrate the School’s Student Information System with 3rd party providers such as textbook, payment, and digital learning platforms.
Salary Range: $85K - $100K

QUALIFICATIONS
Education: Bachelor’s degree.
Experience: Minimum of 4-6 years working with database systems. Experience with Veracross and Blackbaud or similar Student Information Systems. At least 4-6 years experience working with Google and/or Microsoft Office Suite products.
Specific Skills: Strong communication skills working with multiple school stakeholders including students, faculty, administration, and parents. Microsoft Excel and/or Google Sheets proficiency.
