The Associate Director of Administrative Services is responsible for the strategic planning of administration and operation of housing assignments, marketing, and conferences/guest services for Housing & Residence Life. This position is responsible for the processing of Housing applications, contracts, and room assignments for more than 3600 students. The Associate Director will seek to ensure accuracy of billing of approximately $26 million in student housing fees and an additional $500,000 in summer revenue from camps and conferences. This position will serve as a member of the Department Leadership Team.
Duties and Responsibilities:
Strategic Planning
Establish and administer goals, objectives, and long-range project planning for the Administrative Services unit of the Department; develop strategies for allocating beds to support strategic populations; establish and manage occupancy goals and targets; create long and short-term occupancy forecasts using historical data, current trends, and projections; develop strategies for making adjustments to ensure occupancy targets are met; coordinate the generation and distribution of departmental statistical and annual reports; build, manage and adjudicate requests for student and guest housing contracts; develop strategies for accommodating summer programs (camps, conferences, and guests); assist with assessment of occupancy-related strategic initiatives and occupancy management processes; coordinates auditing of occupancy data to ensure accuracy of HRL's housing database and related systems; assist in the production of relevant data dashboards for internal and external usage.
Supervision
Lead and oversee the Administrative Services team to administer, maintain, and improve the administrative systems and functions of the students and guests services, including direct supervision, recruitment, selection, training, and evaluating a staff of an Assistant Director for Occupancy Management, Assistant Director for Guest Relations, and a Coordinator for Marketing and Communication as well as indirect supervision, selection, and training of two Assignment Specialists, graduate interns (during the summer) and student workers; provide direction and guidance to the Business Analyst.
Administration
Develop policies to ensure contracts or agreements are consistent with institutional and profession practices as well as legal requirements; establish and foster partnerships with appropriate institutional staff including but not limited to athletics, living-learning/theme housing communities, student affairs, enrollment services, and orientation; serve on departmental, divisional, and/or university-wide committees as needed; participate in an on call rotation.
Throughout the course of the year there will be times where staff will be called to serve based on the needs of the department that may not be outlined in a job description.
The ideal candidate will possess the following:
- Knowledgeable and proven skills related to contracting, marketing, sales, management, and resource allocation
- Supervision of full-time professional level staff to student staff
- Excellent customer service skills, intra-personal skills, and communication skills
- Knowledge of computer applications i.e. Microsoft Operating Systems
- Knowledge of Housing Software Systems and Programs (Banner and TouchNet)
- Knowledge of college student housing

Minimum Qualifications: Requires a Bachelor's degree in Business Administration, Marking, or related field; 5-7 years of progressive full-time experience in college student housing.
Preferred Qualifications: A master's degree in Higher Education, College Student Personnel/Development, Business Administration, or related field; experience in housing including housing assignments, marketing/communications, guest housing/hospitality, personnel management and facility management; experience inn project management and marketing strategy implementation.
