The Project Coordinator, Learning & Development provides a wide range of operational and logistical support for various Learning & Development programs and projects. This role coordinates various employee programs including new employee onboarding and orientation, employee engagement, and learning. Assists in the administration of a variety of functions such as planning, organizing, implementing, research, analysis, and delivery of services. The incumbent must possess the flexibility to manage difficult situations and all levels of staff, leaders, and physicians.
Provides a wide range of operational support for the Organizational Effectiveness Team for the Health System. This position coordinates various employee programs including new employee onboarding and orientation, and special events and projects. Assists in the administration and coordination of a variety of functions including planning, organizing, implementing, research, and delivery of services. Possesses the flexibility to manage difficult situations and all levels of staff, leaders and physicians. Ability to perform and multitask effectively in a high volume and fast paced environment.
Essential Duties:
Provides coordination and oversight of all tasks related to new employee onboarding and orientation such as planning, organizing, and implementing activities to meet objectives. This will include, but not be limited to, hosting orientation meetings, communicating with managers and talent acquisition team members, preparing welcome materials, scheduling training sessions with various education teams and more.
Serves as a key resource for orientation information and expectations. Resolves problems or answers questions referred by new employees, hiring managers, and other involved parties.
Organizes multiple tasks with conflicting priorities, delivering the desired results, and successfully meeting deadlines. Effectively manages difficult situations and works will with all levels of staff.
Responsible for tracking new hire employee progress through the onboarding process tracking completion of various requirements and documentation.
Schedules, coordinates, and manages various Learning & Development programs by tracking attendance, noting and solving issues, and answering any logistical questions. Serves as the front-line liaison between program staff and attendees.
Attends various onboarding and orientation sessions, learning and development programs, and miscellaneous activities to ensure all logistics and details are handled as planned.
Monitors delivery of goods and services to ensure contract terms are satisfied and details are executed appropriately.
Demonstrated ability to establish and maintain effective working relationships with a widely diverse members of the HR department by performing duties in a cooperative and helpful manner.
Creates and manages learning and development program materials to ensure they are accurate and up to date. Schedules training sessions for employees, ensuring that adequate preparation time is provided in each session.
Collaborates with learning specialists to plan and schedule learning and development training and classes. Develops and manages a training and new employee orientation calendar to ensure all events and project related activities are planned and executed on time and with efficiency.
May serve as backup to the HealthStream Learning Management Systems Specialist. Duties would include creating student groups, assigning, and uploading various learning content.
Tracks, analyzes, and reports out various training and learning student metrics.
Proven ability to be flexible in a dynamic work environment and perform effectively in a high volume and fast paced environment. Alerts appropriate leaders of any changes and problem solves as needed.
Ability to work independently and exercise discretion and judgment in job performance.
Performs other duties as assigned.
Required Qualifications:
Req High school or equivalent
Req 5 years Directly related project or administrative experience.
Req Experience in administration, HR operations, expense management, reimbursement, and budgets.
Req Excellent verbal and written communication skills.
Req Strong project management and organizations skills.
Req Working knowledge of Microsoft Office applications such as Word, Excel, and PowerPoint.
Req Detail oriented individual with a high level of accuracy.
Preferred Qualifications:

Required Licenses/Certifications:
Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $25.00 - $39.69.
