Job Description The Faculty of Computing & Data Sciences at Boston University (CDS) seeks a highly organized and detailed oriented event planner to join our team. The Events & Communications Manager will develop and manage CDS's seminal annual functions such as undergraduate and graduate student recruitment, admission, and orientation, open houses, career days, lecture series, conferences, and commencement exercises. They will also serve as the CDS Events subject matter expert and provide event guidance to CDS faculty, staff, students, and University offices for all events taking place in the Center for Computing & Data Sciences.
Reporting to the Director of Communications and working closely with CDS faculty and administrative staff, this position will lead in planning and implementing high-profile events and programs that are critical to faculty and student recruitment, retention, career advancement, and the academic mission of CDS.
This role requires exceptional organizational skills, attention to detail, and the ability to multitask effectively. Equally important is the ability to effectively promote CDS events and programs. Under the guidance of and with support from the Director of Communications, the Events & Communications Manager will collaborate with various internal and external stakeholders to deliver impactful and successful event communications including design development, social media promotion, email communications (Mailchimp), and community outreach.
ESSENTIAL FUNCTIONS
Coordinate and manage event logistics, including scheduling, venue selection, budgeting, contracts, permits, appropriate event staffing, and requesting BU services such as LETS, Catering, and Facilities for events and activities across all programs in CDS, beyond those within the portfolio for the position. Create a living project tracking system that is updated daily and represents a monthly and annually assessment of projects and activities.
Design and implement comprehensive orientation programs for new students, facilitating their smooth transition into college life
Collaborate with the academic programs team and other administrative units to coordinate orientation and admissions activities, commencement activities, and provide ongoing support throughout students' college journey
With a focus on health and wellness, manage a select number of student-facing events such as yoga, student socials, and more
Manage event registration processes (EventBrite), including attendee tracking, and RSVP management to optimize attendance
Execute events on-site, ensuring smooth operations and handling any issues or emergencies that may arise
Work closely with the Director of Administration to create and manage event budgets, ensuring resources are allocated effectively to meet financial goals
Arrange accommodations and other logistics for event participants when necessary
Manage and communicate a central calendar for the CDS Center by working and coordinating with the appropriate administrative staff
Assist in developing event marketing strategies to attract target audiences
Create promotional materials using Canva, Figma, Adobe Creative Suite
Familiarity with social media outlets LinkedIn, X, Instagram, and Facebook
Familiarity with Mailchimp, AppSpace, Google Suite
Update website calendar and create event landing pages in WordPress
Investigate and order promotional materials such as t-shirts, water bottles, and more
Supervise student interns responsible for implementing various CDS events, activities, and initiatives
Liaise with internal teams, external vendors, and partners to ensure effective collaboration and seamless event execution
Establish and maintain relationships with key stakeholders and vendors
Respond to inquiries and provide timely assistance to event participants
Coordinate with speakers and presenters to ensure their requirements are met and they have the necessary support
Conduct post-event evaluations, including feedback from attendees and partners.
Community Building and Other Special Projects as Assigned
CDS, as a high-profile strategic initiative of the University, will from time to time have special projects that touch many different aspects supported by this position. Support of these projects is important to the growth of CDS. This requires proactive collaboration and building of relationships with key campus and building partners as well as assistance with special projects and tasks aimed to foster community engagement of BU students, faculty, and external partners.

Bachelor's degree with 5-8 years of experience in planning events, preferably in higher education or a fast-paced environment
Experience as an Events & Communications planner executing high-profile events
Excellent organizational and time management abilities, with exceptional attention to detail
Outstanding communication and interpersonal skills, both written and verbal
Outstanding customer service skills and the ability to respond to inquiries within a timely manner
Proficient in project management software such as Trello and Excel, as G Suite
Ability to work independently and collaboratively as part of a team
Knowledge of assessment methods and data analysis to measure the effectiveness of student outreach and engagement efforts.
Familiarity with technology platforms and tools used in student engagement, such as social media, student engagement software, and event management systems.
Enthusiasm for community building and strategic planning for shaping the future of computing and data sciences and how they are studied
Demonstrated ability to work with faculty, staff, and students from diverse educational and cultural backgrounds
Track record of proactive engagement with or support of programs aiming to broaden participation of women and members of underrepresented minorities in STEM
This is an in-person/on-premises role with some flexibility for remote work. Evening and weekend work may be required.
